Valley Catholic High School is seeking an Administrative Assistant who will serve as a Front Office Manager / School Registrar welcoming face and organizational hub of the school. This individual manages front office operations while also overseeing key student records and attendance systems essential to the daily functioning of the school.
The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced, student-centered environment.
General Information
Position Type: Full-time, 11-month position
Compensation: Based on experience (aligned with administrative support scale)

Start Date: This position will begin work on August 17, 2026, to prepare for the school year and is to be completed in accordance with the published school calendar as instructed by the school’s administration.
Primary Responsibilities:
Front Office & Community Engagement
Serve as the first point of contact for students, families, and visitors
Greet and assist all guests with professionalism and hospitality
Answer and direct incoming phone calls and respond to general inquiries
Support a positive and welcoming school environment aligned with the Sisters of St. Mary of Oregon core values
Attendance & Student Services
Monitor, record, and maintain daily student attendance, including absences, tardies, and early dismissals
Communicate attendance information with families and school personnel
Support student check-in/check-out processes and daily needs
Generate and share attendance reports with appropriate staff
Registrar & Records Management
Maintain accurate and confidential student records, including enrollment and demographic information
Support student record compliance, including immunization tracking and reporting requirements
Process student records requests, transfers, and verifications
Assist with transcript management and end-of-year record processes
Office Operations & Systems
Maintain front office organization, supplies, and procedures
Support school communication systems, including announcements and messaging platforms
Oversee substitute management system
Distribute mail and coordinate packages for staff
Ensure efficient and consistent front office operations
Administrative & Event Support
Provide logistical support for school events such as Open House, Parent/Teacher Conferences and admissions-related activities
Assist with coordination of school safety procedures and emergency drills
Collaborate with the administrative team to support overall school operations
Maintain VCHS master calendar
Qualifications
Experience in a front office, administrative, or school setting preferred
Strong interpersonal and communication skills
Ability to multitask and prioritize in a dynamic environment
High level of organization and attention to detail
Comfort with technology (Google Suite) and ability to learn PowerSchool (student information system)
Ability to handle confidential information with discretion
