Schedule Monday through Friday 7:00 a.m. - 3:30 p.m.

Summary
Under the supervision of the Assistant Superintendent and the High School Principal the Administrative Assistant for Attendance will provide general assistance of attendance related tasks, with an overall goal of improving student attendance. This position also provides support for High School related matters as well as district related needs.

Primary Duties and Responsibilities

  1. Interface with students, parents, faculty, and the community on a continual basis with a high degree of interpersonal skill and human relations ability.
  2. Contact parent or guardian to verify student absences and to determine the reason for the absence.
  3. Review attendance reports and trends and proactively work with high school principals to address concerns.
  4. Schedule Student Attendance Improvement Conferences (SAICs) meetings with families.
  5. Work collaboratively with the Student Engagement Facilitator and High School principal to send truancy notifications to students and parents or guardians when a student has been absent for excessive days.
  6. At the direction of the Student Engagement Facilitator, complete paperwork necessary to process citations for students in violation of Student Attendance Improvement Plans (SAIPs).
  7. Be a district contact for homeschooled students. Ensure homeschooled students are meeting annual compliance documentation requirements and complete annual state reports on homeschooled students.
  8. Serve as the district liaison for elementary families during the summer months. Process records requests from other districts for students who withdraw from PMSD elementary schools during the summer. Process new enrollments for all elementary buildings.
  9. Collaborate with high school building principals to provide support for academic, counseling, and virtual school administrative tasks.
  10. Perform other duties as assigned by Assistant Superintendent and High School Principal.

Qualifications

  • High school diploma or equivalent is required
  • Administrative Assistant experience is preferred
  • Valid PA Driver's license and /or access to independent transportation
  • Pre-employment requirements as designated by the PA School Code

  • Exceptional organizational and time-management skills, with the ability to prioritize tasks effectively and meet deadlines.
  • Strong written and verbal communication abilities, including professional phone etiquette and proficiency in written correspondence.
  • Proficiency in office productivity software (e.g., Google) and familiarity with database management systems for record keeping.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
  • Excellent interpersonal skills, with the ability to work collaboratively with diverse stakeholders, including students, parents, staff, and community members.
  • Demonstrate problem-solving skills and the ability to work independently with minimal supervision, while also being a team player.
  • Flexibility to adapt to changing priorities and manage multiple tasks simultaneously in a fast-paced environment.
