Overview
Our client is seeking a dependable and detail‑oriented Administrative Assistant to support daily operations and contractor coordination within a fast‑paced transportation environment. This role serves as a key point of contact for drivers and contractors and plays an important part in maintaining compliance, organization, and operational efficiency.
Key Responsibilities
- Maintain accurate and up‑to‑date records for equipment locations, driver files, and required documentation
- Track, monitor, and update CDL information to ensure regulatory compliance and timely renewals
- Act as a primary point of contact for truck drivers and contractors via phone and email
- Communicate daily with drivers to relay assignments, expectations, and follow up on task completion
- Generate operational and compliance reports and accurately enter data into Excel spreadsheets
- Follow up with drivers on hours logged and adherence to company policies and procedures
- File, organize, and manage daily paperwork and driver‑related documentation
- Order equipment, uniforms, and office supplies, including coordinating orders with external vendors
- Coordinate shipments and follow up with FedEx and other carriers to confirm delivery status
- Monitor permit requirements and follow up on necessary approvals
- Send messages and overnight packages as needed
- Provide general administrative and clerical support, including assistance with contractor onboarding and operational needs
Qualifications and Experience
- High school diploma or equivalent required
- At least 1 year of experience in administrative support and/or customer service
- Comfortable working in a blue‑collar environment and communicating directly with truck drivers and contractors
- Confident and professional communicator, able to handle direct communication styles effectively
