The Role:

This positions primary responsibility will be providing routine comprehensive administrative assistant support to the Department of Curriculum, Supervision, and Educational Leadership (CSEL) and Sport and Movement Studies (SAMS) department chairs. The majority of work involves supporting undergraduate/graduate programs within the department and maintaining budget records. This includes creating analytical reports; monitoring and maintaining budgets and activities; monitoring deadlines for events and activities; recording department meetings; calendaring; correspondence; records retention; ordering supplies; making travel arrangements; answering phones and questions; and serving as the contact person for individuals visiting the offices.

Job Duties

Administrative Support:

  • Execute tasks during constant interruptions that require personal interactions without losing focus or momentum.
  • Establish/modify office procedures, standards, priorities and deadlines; Monitor and meet deadlines and due dates for various department, college and university events and processes.
  • Answer telephone(s) and emails; receive and refer inquiries including university personnel, students, and/or the public to the appropriate office/personnel.
  • Screen and distribute mail and messages.
  • Plan department meetings and retreats. Take and distribute minutes. Proofread material; take notes; maintain all minutes and agendas for meetings.
  • In consultation with the Department Chairs, assist in submitting catalog and course changes. Access CWU systems for department class enrollments, class rosters, grade sheets, student information, entering information on department majors and minors, and running queries on a variety of topics.
  • Provide administrative support for the student admission process for admitting potential students to the program offered. Assign students their faculty advisors.
  • Grant permission for students to register for courses using appropriate CWU software system(s).
  • Provide undergraduate and graduate students with programmatic materials.
  • Maintain student academic files.
  • Provide administrative support for student Restricted ATP application process.
  • Maintains equipment inventory and key audits.
  • Request adjunct faculty contracts quarterly.
  • Make travel arrangements, including processing travel forms. Apply departmental/university policies and procedures as they relate to areas such as travel.
  • Create and format various documents using Word, Excel, Publisher, PowerPoint, and other database software. Research, collect data, organize and prepare a variety of reports. Create analytical reports.
  • Attend monthly support staff meetings as provided by the Dean.
  • Provide support and coordination as well as establish and maintain confidential records management for faculty searches. Initiate, track, and update searches in CWU recruiting/hiring system.
  • Research fees for advertising and post position announcement(s).
  • Assign/evaluate office space at the direction of the Chair. Maintain phone lines for department.
  • Coordinate with the Department Chair(s) to maintain, update and revise content for the department website and social media.
  • Responsible for records retention.
  • Resolve problems.
  • Represent supervisor or work group in supervisors absence.
  • Greet students and others who visit the department offices; represent the interests of the faculty and academic programs.
  • Assist chairs in development of quarterly department course schedules.
  • Coordinate itineraries for candidates visiting/interviewing for department positions (faculty, staff, etc.)

Fiscal Support:

  • Maintain, monitor, and evaluate departmental budgets and fiscal records including goods and services, department credit card, faculty professional development funds and course fees; create budget and labor distribution reports.
  • Reconcile budgets monthly; recognize inconsistencies; request budget corrections timely.
  • Report reconciliations to chairs monthly and assist chair with reforecasting departmental budgets based on those reconciliations.
  • Research products for cost, durability, availability, departmental need, and state guidelines (if applicable). Orders office supplies.
  • Perform other duties as assigned.

Minimum Qualifications

  • Increasingly responsible administrative/secretarial/fiscal experience
  • Experience or training that demonstrates the ability to use Word, Excel, e-mail and/or similar software applications to produce written correspondence, create and maintain spreadsheets, receive and respond to e-mail inquiries, tasks, etc.
  • Excellent communication, interpersonal and organizational skills, including direct clear, and timely communication
  • Ability to provide excellent customer service including listening to customers, identify issues, provide options, fulfill services and exercise knowledge of procedures to assist others
  • Ability to effectively organize multiple work assignments, involve competing priorities to produce work products that are accurate, of a high quality and meet deadlines
  • Attention to detail
  • Demonstrated ability and/or experience working collaboratively with students and/or colleagues to foster a supportive and effective learning and work environment
  • OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position

Preferred Qualifications

  • Experience in higher education

  • Experience with financial, human resources and/or student data systems such as PeopleSoft and/or other system(s) that demonstrates the ability to monitor and reconcile budgets, payroll, travel, purchasing, compile and interpret fiscal data and provide related reports

  • Experience with social media and website maintenance

  • Demonstrated participation in programs designed to promote student success

  • Demonstrated commitment to improving access to higher education for students through various activities

Pay, Benefits, & Work Schedule

Salary: This position is based on the range 41 of the Washington State Classification Listing, which has a minimum annual salary of $43,980 and maximum annual salary of $58,584. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidates current experience, education, skills, and abilities related to the position.

Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch) / PSE Bargaining Unit 4

Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required. Position will be split between two departments and two offices. Approximately equal time will be spent at both office per week.
