Summary:
The main function of an administrative assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office.
 
Essential Duties and Responsibilities:
  • Communications for trainees and other stakeholders
  • Updating and distributing training reports
  • Scheduling/invitations/LMS registration for each trainee
  • Compile data for training improvements and reporting
  • Ensuring all materials are ready for each class
  • Prepare, print, collate, order and receive training materials as needed
  • Ensuring rooms are setup per program needs
  • Ensuring technology in room is enabled and ready prior to session.
  • Creating and following up with catering orders for classes (Lunch order)
  • Managing training records of program based on attendance
  • Supporting program evaluation collection and analysis
  • Managing training sample product inventory
  • Performing additional operational duties as requested
  • Supporting Training Center operations by managing of training sample products and general quality of facility
 
Required Skills:
  • Have Intermediate skills in Microsoft Excel, Outlook, PowerPoint, Word
  • Highly detail-oriented, organized, and works with a sense of urgency
  • Motivated to learn and work hard in a fast-paced, highly ambiguous environment – enjoys creating structure where there may be none
  • Customer-service oriented – must be able to professionally and tactfully interact with all levels of the organization
  • Strong communication skills (both written and verbal), with an ability to demonstrate influence without direct authority
  • Proactive and solutions-oriented; have strong problem-solving skills
  • Independent and can take charge of responsibilities, but not afraid to ask for guidance when needed
  • Strong time and priority management skills – able to prioritize and handle multiple tasks with concurrent and competing deadlines
 
Education and Years of Experience:
  • 1-2 years of experience
  • Highschool Diploma or above

Pay Transparency: The typical base pay for this role across the U.S. is: $15.00- $20.00/hour. Non-exempt positions are eligible for overtime at a rate of 1.5 times the base hourly rate for all hours worked in excess of 40 in a work week, or as required by state or local law. Final offer amounts, within the base pay set forth above, are determined by factors including your relevant skills, education and experience. Full-time employees are eligible to select from different benefits packages.
