Administrative and Marketing Coordinator Drive Operations and Brand Growth for High-End Construction

Job Overview

  • Project Scope: High-end residential construction and custom fabrication.

The Opportunity

You will serve as the operational and creative backbone of a growing construction and fabrication firm. This role goes beyond traditional support, placing you at the intersection of financial workflows, subcontractor coordination, and brand development.

You will have the unique opportunity to drive internal efficiency while elevating our external visibility. This is the ideal position for a bilingual professional who wants to shape the marketing and administrative standards of a high-end brand.

How You Will Make an Impact

  • Operations & Administrative Support
  • Monitor business expenses and collaborate with the bookkeeper to track payments and financial updates
  • Execute financial tasks including preparing 1099 payroll checks and handling deposits
  • Maintain organized project documentation, binders, and receipts for all active jobs
  • Coordinate with expeditors to secure permits and ensure compliance with NYC regulations
  • Manage subcontractor documentation including contracts, insurance certificates, and payment coordination
  • Support HR functions including onboarding, tracking employee time off, and assisting with payroll
  • Project & Bid Support
  • Assist in creating and maintaining bid templates and proposal documents
  • Support project managers with documentation, scheduling, and communication
  • Help track project timelines and ensure proper documentation for bids and ongoing jobs
  • Marketing, Branding & Social Media
  • Manage and maintain the company's social media presence (Instagram, LinkedIn, etc.)
  • Create and schedule content showcasing projects, progress, and company culture
  • Collaborate with leadership to develop branding strategies and marketing initiatives
  • Assist in designing and ordering company swag, uniforms, and promotional materials
  • Work with website developers to update project portfolios and company information
  • Technology & Communication
  • Coordinate with IT and website teams to resolve technical issues
  • Serve as a central communication point between field teams, subcontractors, and office staff

Required Qualifications & Experience

  • Previous experience in an administrative, office management, or operations support role.
  • Strong proficiency in QuickBooks Online and financial tracking.
  • Advanced skills in Microsoft Office Suite (Excel, Word, and Outlook).
  • Experience managing or supporting professional social media or marketing efforts.
  • Must be bilingual in English and Spanish.

Preferred Qualifications & Experience

  • Experience in the construction or general contracting industry.
  • Familiarity with NYC permitting and subcontractor coordination.
  • Basic design experience using tools like Canva or Adobe for branded materials.
  • Proven ability to create professional proposals or construction bids.
