VisionGift is a non-profit organization founded in 1975 by Lions Clubs of Oregon, which recognized the need for an eye bank to provide ocular tissue for transplants, research and medical education.

Since its inception, over 65,000 people have received the gift of sight from tissue procured and screened by VisionGift, which works closely with transplant surgeons. Additionally, ocular tissues have been utilized for valuable research projects and surgical training.

VisionGift has an exciting opportunity for an Administrative and HR assistant. The purpose of the position is to provide clerical and administrative support to the admin functions including accounting and HR.


Essential Functions/Assigned Responsibilities

  • Provide friendly and professional customer service when greeting clients and visitors, and on telephone calls.
  • Distribute incoming mail and faxes. Send annual mailings (e.g., eye donor anniversary cards, Christmas cards, or other special mailings).
  • Order office and break-room supplies to ensure stock enough for efficient operations.
  • Help with facilities tasks related to building and office maintenance
  • Donor family-related correspondence using VG database: Maintain mailing inserts and supplies.
  • Helps prepare for board meetings including set up and clean up after.
  • Assists with new hire orientation, onboarding and offboarding.
  • Helps with benefit administration and bill pay.
  • Ensures that human resources records are maintained in a confidential manner.
  • Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
  • Will be part of organizational safety committee.
  • Participate and help lead DEI efforts.
  • Performs other duties as assigned.


Pay rate: Starting at $20/hour plus fully employer paid medical and vision plan with buy up option, short term disability and basic life insurance for the employee.

Requirements:

Background/Skills/Experience

• Ability to enter data accurately and efficiently into computer software and systems.

• Excellent interpersonal skills with the ability to manage sensitive and confidential situations with integrity, tact, professionalism, and diplomacy.

• Excellent organizational skills and attention to detail.

• Proficient with Microsoft Office Suite.

• Experience with Paylocity or another HRIS preferred.


Education/Certifications

• Associates degree preferred.

• Prior administrative or HR experience required.


Cognitive Aptitude:

• Accurately enter data into computer

• Excellent problem-solving skills

• Adaptability to frequent changes in priorities, fast pace of work

• Attention to detail is critical to process information effectively and accurately from multiple sources.


Work Environment and Physical Demands:

• Ability to read/visually comprehend reports, computer screens, etc.

• Sit or remain in a stationary position for extended periods of time.

• Be able to lift 25 lbs

• Subject matter is sensitive and requires discretion.
