Administrative Assistant

1-Year Contract | Potential to Extend or Convert
Hybrid Schedule Onsite Tuesdays & Thursdays in San Rafael, CA
Pay Rate: $31/hour

Position Overview

Our client is seeking a highly organized and proactive Administrative Assistant to support a dynamic, fast-paced team within a leading biotechnology organization. Key Responsibilities

  • Provide administrative support to department leadership and cross-functional teams.
  • Manage complex calendars, schedule meetings, and coordinate conference calls.
  • Organize meeting logistics, including conference rooms, catering, agendas, materials, and meeting minutes.
  • Coordinate candidate interviews and support new hire onboarding activities.
  • Arrange domestic business travel and prepare expense reports using Concur.
  • Maintain department calendars, office supplies, project trackers, and filing systems.
  • Assist with presentations, organizational charts, spreadsheets, and other business documents.
  • Partner with IT and other departments to ensure smooth day-to-day operations.

Qualifications

  • 5+ years of Administrative Assistant experience supporting large teams or senior leadership.
  • Strong calendar management, scheduling, and meeting coordination experience.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), SharePoint, and Concur.
  • Excellent organizational, communication, and multitasking skills.
  • Experience in biotechnology, pharmaceutical, healthcare, or other corporate environments is preferred.
  • Bachelor's degree preferred.
