Job Summary: The Accounts Receivable Supervisor is responsible for overseeing the organization's collections and accounts receivable operations while ensuring customer orders are processed and released in compliance with credit policies and payment terms. The role plays a critical position in the ordertocash lifecycle, supporting EDI transactions, team leadership, and monthend financial close accuracy, while balancing cashflow protection and customer relationships.
Key Responsibilities Collections & Accounts Receivable Management - Manage daily collections activity to ensure timely receipt of customer payments and reduction of pastdue balances.
- Monitor accounts receivable aging, identify credit risks, and implement followup strategies for delinquent accounts.
- Negotiate payment arrangements, resolve disputes, and escalate highrisk accounts when necessary.
- Ensure collections activities comply with company credit policies and applicable regulations.
Customer Order Oversight - Review, approve, release, or place customer orders on hold based on credit status, payment history, and established credit limits.
- Oversee order holds related to overdue balances, billing discrepancies, or credit exposure.
- Act as the primary escalation point for customer order issues tied to collections and payment status.
- Collaborate with Sales and Operations to resolve order delays and support ontime fulfillment.
- Ensure accurate billing and documentation supporting customer orders and invoices.
Team Leadership - Supervise and support the team, providing guidance on collections strategies, orderrelated credit decisions, and EDI workflows.
- Assign workloads and prioritize daily activities to support collections goals and order flow.
- Train and coach team members on collections procedures, customer communication standards, and system usage.
- Act as an escalation resource for complex customer, order, or payment issues.
MonthEnd & PeriodEnd Close Support - Support monthend and periodend closing processes by reconciling accounts receivable balances.
- Review aging reports, unapplied cash, open orders, and released shipments to ensure accuracy prior to closing.
- Ensure timely posting of customer payments, credits, and adjustments supporting accurate financial statements.
Reporting & Process Improvement - Track and report key metrics such as aging trends, order holds, released orders, and effective collections.
- Identify opportunities to improve collections processes, EDI efficiency, and ordertocash workflows.
- Participate in audits and support internal control reviews related to accounts receivable and credit management.
EDI Implementation & Maintenance (not required, but a "plus” and can be trained) - Implement, maintain, and support EDI functionality for customer orders, invoices, remittance advice, and related transactions.
- Coordinate with internal IT teams and external trading partners to onboard new EDI customers and resolve transaction errors.
- Monitor EDI integrations to ensure data accuracy and prevent disruptions to billing, collections, or order processing.
- Troubleshoot EDI failures impacting order releases, cash application, or customer payments.
Skills & Qualifications - Bachelor's degree and 2+ years of experience
- Strong experience in collections, accounts receivable, and customer credit and deduction management
- Experience supporting monthend financial close
- Proficiency in accounting software (e.g., QuickBooks, Sage, SAP, or similar)
- Strong analytical, communication, and problemsolving skills
- Proven ability to manage priorities across finance, operations, and customer service
- Knowledge of EDI systems a plus
Work Environment: - Office environment: may require some remote work as needed.
- Standard workweek with occasional overtime during month-end and year-end close, and occasional Saturdays to support month-end inventory.
