Client Overview:
We are a mission-driven food organization dedicated to combating food insecurity and increasing access to healthy, nutritious meals throughout New York City. Through community partnerships, food distribution programs, and nutrition initiatives, we serve thousands of individuals and families each year. Our client is seeking a detail-oriented Accounts Receivable Specialist to support their growing Finance team and help ensure the timely collection and processing of revenue.

Salary/Hourly Rate:
$25/hr - $35/hr

Position Overview:
The Accounts Receivable Specialist will be responsible for managing the organization's receivables process, including invoicing, collections, cash applications, account reconciliations, and customer account maintenance. The ideal candidate is highly organized, customer-service focused, and possesses strong analytical and problem-solving skills.

Responsibilities of the Accounts Receivable Specialist:
  • Generate and distribute customer invoices accurately and in a timely.
  • Process incoming payments, including checks, ACH, wire transfers, and credit card transactions.
  • Apply payments to customer accounts and investigate discrepancies.
  • Monitor aging reports and follow up on outstanding balances.
  • Communicate with customers regarding billing questions and payment issues.
  • Reconcile accounts receivable and prepare monthly AR reports.
  • Research and resolve billing discrepancies and unapplied cash.
  • Maintain accurate customer records and account documentation.
  • Assist with month-end and year-end closing activities.
  • Support audit requests by preparing receivable documentation and reconciliations.
  • Collaborate with finance, operations, and program teams to ensure accurate billing and collections.
  • Assist in developing and improving accounts receivable processes and internal controls.
Required Experience/Skills for the Accounts Receivable Specialist:
  • 2+ years of accounts receivable, billing, collections, or related accounting experience.
  • Experience processing invoices and applying customer payments.
  • Strong understanding of accounts receivable principles and reconciliation processes.
  • Proficiency in Microsoft Excel, including formulas and data analysis.
  • Experience with accounting software such as QuickBooks, NetSuite, Sage Intacct, or similar systems.
  • Strong attention to detail and organizational skills.
  • Excellent communication and customer service abilities.
  • Ability to prioritize workload and meet deadlines in a fast-paced environment.
Preferred Experience/Skills for the Accounts Receivable Specialist:
  • Experience working in a nonprofit, food distribution, logistics, or community-based organization.
  • Knowledge of grant-funded billing and reporting.
  • Experience with cash management and collections.
  • Familiarity with CRM or donor management systems.
  • Experience supporting financial audits.
  • Bilingual English/Spanish is a plus.
Education Requirements:
  • Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred. Equivalent combination of education and relevant work experience will also be considered.
