Job Details

The Accounts Receivable Specialist supports the accounting function by helping ensure timely collection of customer payments, accurate application of incoming payments, and effective follow-up on account issues that affect cash flow and the customer experience. This role works closely with customers, sales, customer service, warehouse, and accounting team members to resolve payment discrepancies, maintain accurate documentation, and support customer account activity in a transaction-heavy environment.

Key Responsibilities
Collections
  • Perform proactive customer outreach by email, phone, and written communication.
  • Analyze aging reports, prioritize collection efforts, and escalate concerns as appropriate.
  • Apply incoming payments promptly and accurately, including credit card, ACH, wire, check, and cash.

Payment Discrepancies
  • Investigate differences between purchase orders, invoices, payments, and customer records.
  • Collaborate with sales, customer service, warehouse, and accounting to resolve issues affecting payment.
  • Maintain a general working knowledge of applicable state and local sales tax requirements and related customer documentation.

Credit Monitoring
  • Assist with customer credit monitoring, credit applications, and account documentation.
  • Evaluate customer credit information using credit reports and other available inputs.

Correspondence and Documentation
  • Address customer questions or concerns professionally and work toward timely resolution.
  • Prepare outgoing mail and distribute incoming accounting-related mail as needed.
  • Monitor the accounting email inbox and respond to or route requests in a timely manner.
  • Respond to customer requests for credit references, proof of delivery, receipts, certificates of liability insurance, and related documentation.
  • Maintain customer documentation, including tax exemption certificates, certificates of liability insurance, and other account records.

Continuous Improvement
  • Support non-conformance, customer feedback, and quality-related processes as needed.
  • Identify opportunities to improve accounts receivable processes, reduce delinquency, strengthen documentation, and support cash flow.
  • Participate in professional development, cross-training, and assigned accounting or company initiatives.

Cross-Training
  • Support cross-training in accounts payable invoicing, credit applications, and customer onboarding.
  • Build working knowledge of applicable Quality Management System processes.

Qualifications
  • Education: High school diploma or GED required. Associate degree in accounting, business, or a related field preferred.
  • Experience: Two or more years of accounts receivable, collections, or general accounting experience preferred. Proficiency with Excel required. Experience with SAP, Ariba, or other customer/supplier platforms preferred.
  • Skills: Ability to manage multiple priorities in a dynamic team environment and follow through on time-sensitive tasks. Professional written and verbal communication with practical problem-solving ability. Proficiency with common business software such as Word, Excel, Outlook, and PowerPoint.

Physical Requirements
  • Work is performed in a general office environment.
