ACCOUNTS RECEIVABLE CLERK I

LOCATION: Administrative Office of the Court, Either Augusta or Portland

The Job:

This position involves responsible clerical and financial work, including the preparation and review of financial records, tracking payments, and supporting the collection of revenue for the Judicial Branch. This role requires daily communication with the public, judges, and court staff via in-person, over the phone, and virtual platforms, making excellent customer service and interpersonal skills essential. A strong working knowledge of office equipment, computer systems, and basic administrative practices is crucial to the success of this role. Travel to multiple locations throughout the state is required, with occasional overnight travel.

Salary Range:

Starting pay is $20.58 - $21.63 per hour. (2% increase effective 7/1/2026)

Grade 9, $20.58 to $27.83 per hour.

RESPONSIBILITIES:
  • Prepare and maintain accounts receivable records, including tracking outstanding balances, daily fine payments, and related data entry.
  • Identify errors when offsetting outstanding fine balances against Broker/Bablo/Lottery payments, researches discrepancies, and confirms that corrections are made in the case management system.
  • Interview defendants to establish payment schedule recommendations in accordance with established procedures.
  • Research defendants' assets, income, and capacity to pay fines and surcharges.
  • Assist in the review and verification of financial and statistical information.
  • Reconcile daily financial reports from all courts.
  • Assist in the daily office phone coverage of Tax Offset, Maine Judicial Information System/Enterprise Justice Bail, and Administrative Office of the Courts coverage.
  • Communicate and interact effectively in person, over the telephone, and in writing with the Judicial Branch staff, attorneys and other state, local, county, and federal agencies concerning collection matters before the Court.
  • Assist the courts with assessing capacity and failure to pay fine hearings (inc. 17-A M.R.S § 1304).
  • Interview defendants at local correctional facilities/Zoom meetings/courthouses to establish fine payment schedules to expedite release.
  • Provide any physical payments received to the courts for processing in the case management system.
  • Approve Advantage entry documents for accounts receivable and journal entries.
  • Research docket files for accuracy of accounting of fee codes and unpaid fines.
  • Process postal mail for return mail for resending as well as mailing out hearing notices.
  • Prepare request to Bureau of Statistics for deceased defendants with unpaid fines.
  • Assist with tax offset research, payment confirmation and communication to court clerks to apply payments in case management system.
  • Perform internal audits on dockets as well as petty cash in all courts.
  • Prepare reports for the Administrative Office of the Courts, as directed.

MINIMUM EDUCATION/EXPERIENCE TO BE CONSIDERED FOR EMPLOYMENT
  • High school diploma or GED is required
  • Associate's degree is preferred.
  • Two years' experience providing customer service and/or clerical work/office administration.
  • College coursework may be substituted for
