    Accounts Payable Specialist - Temp Position (Full Time)

    POSITION SUMMARY:

    The Accounts Payable Specialist is responsible for the accurate and timely processing of supplier invoices, employee reimbursements, and subcontractor payments in accordance with payment terms, company policies, and established procedures. This role serves as a key point of coordination across internal departments and external suppliers, performs account research and reconciliations, supports issue resolution, and helps ensure the overall integrity of the accounts payable function.

    ESSENTIAL JOB FUNCTIONS:

    Review, sort, and match supplier invoices to purchase orders, receiving records, and material return documentation on a daily basis.

    Verify invoice pricing, quantities, and receipt information against purchase orders and supporting documentation to ensure accuracy and prevent duplicate payments.

    Code and prepare invoices for payment, including completion of voucher documentation and calculation of applicable sales and use tax.

    Coordinate with the Warranty team to obtain timely approvals and ensure proper processing of warranty-related invoices and payments.

    Maintain and update supplier master data to ensure completeness and accuracy of vendor records.

    Process employee reimbursement and subcontractor payment requests in accordance with company policy and approval requirements.

    Prepare and process system debit memos for supplier returns and supplier claims.

    Execute weekly check runs, including printing checks and generating payment batches within the system.

    Research, analyze, reconcile, and resolve supplier account discrepancies and outstanding issues on a timely basis.

    Prepare historical payment schedules and other accounts payable reporting as needed.

    Support year-end 1099 preparation and related compliance activities.

    Perform other related duties as required.

    SUPERVISORY RESPONSIBILITIES:

    This job requires supervisory responsibilities.

    QUALIFICATIONS:

    To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.     EDUCATION AND EXPERIENCE:

    Associates degree and five to seven years related accounting experience required or equivalent combination education and experience.

    Experience in Microsoft Office Suite.

    LANGUAGE SKILLS:

    The employee must possess the ability to communicate effectively with all internal and external customers in both written and oral form.

    Overtime is required when necessary.
