Job Description – Accounts Payable Specialist

Location: San Francisco, CA
Schedule: Full-time, Monday–Friday

We are seeking a highly organized and detail-oriented Accounts Payable Specialist to support daily financial operations. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities, and maintains a high level of accuracy. Law firm experience is a plus, and occasional accounts receivable support may be required.

Key Responsibilities:
Monitor and reconcile financial ledgers; prepare and distribute daily AP reports across multiple accounts
Review, code, and process invoices, including managing payment cycles and resolving holds
Audit and reconcile corporate credit card activity; process employee reimbursements and expense reports
Reconcile vendor statements monthly, investigating and resolving discrepancies
Maintain vendor records, including W-9 documentation, and assist with annual 1099 reporting
Ensure vendor files remain compliant with internal security and regulatory requirements
Support financial reporting, audits, and ad hoc projects as needed
Assist with vendor communications, contracts, and relationship management

Qualifications:
Associate’s degree in Accounting required; Bachelor’s degree preferred
Prior experience in accounts payable; law firm experience strongly preferred
Strong understanding of AP processes, controls, and best practices
Proficiency with accounting software (QuickBooks preferred)
Excellent organizational, communication, and problem-solving skills
Ability to manage multiple priorities and meet deadlines independently
High attention to detail and accuracy

Work Arrangement:
Onsite Monday–Friday (8:30 AM – 5:30 PM) during initial training
Hybrid schedule available post-training, with a minimum of two in-office days per week

Compensation:
Salary range: $65,000 – $85,000, depending on experience
Eligible for annual performance-based bonus
