They are not meant to be all inclusive and are subject to change at any time due to reasonable accommodations or other business reasons.General Purpose of the Position:The Accounts Payable Specialist manages and processes the company's invoices and payments to ensure accurate, timely, and compliant financial transactions with vendors.Essential Duties and Responsibilities:Invoice Processing: Receive, review, and verify invoices from vendors and suppliers, ensuring accuracy and proper documentation before entering them into the accounts payable system for paymentPayment Execution: Prepare and execute payments via checks, ACH, or wire transfers, prioritizing timely payments to take advantage of cash discounts and avoid penaltiesVendor Management: Maintain vendor records, communicate with suppliers to resolve discrepancies, and ensure contracts, W-9 forms, and service agreements are on fileReconciliation and Reporting: Reconcile accounts payable records, review expense reports, and assist in month-end closing by preparing accruals and journal entriesCompliance and Controls: Ensure all accounts payable processes comply with company policies, internal controls, and regulatory requirements, supporting audit processesProcess Improvement: Identify opportunities for automation and efficiency improvements in the accounts payable workflowSkills and Abilities Required:Technical Skills: Proficiency in accounting software, Microsoft Office (especially Excel), and data entry accuracyAnalytical Skills: Ability to identify discrepancies, resolve invoice issues, and maintain accurate financial recordsOrganizational Skills: Strong attention to detail, ability to prioritize tasks, and manage high-volume invoice processingCommunication Skills: Effective interaction with vendors, internal departments, and managementEducation and Experience: requires a high school diploma or degree in accounting or finance and 3–5 years of relevant experience; certifications may be advantageousContacts:Accounting DepartmentFrequent contacts both inside and outside the organization, including employees at all levels of the organization both domestic and international.Decision/Judgment:Guided by procedures and supported by supervision of the Accounting ManagerEffort/Working Conditions:General industrial office environmentProlonged periods sitting at a desk and working on a computer.Requires some extended hours to support projects as neededEducation and Experience Required:High School Diploma/Associates degree or higher in accounting or finance is required.2-10 years hands‑on accounting experienceKnowledge of accounting principles and procedures, especially accounts payableExcellent oral and written communications skills to be able to interact effectively with a wide range of internal and external contactsStrong accounting software user and administration skillsExcellent MS Office skills with special strength in MS ExcelBenefits eligibility is subject to company policy and applicable plan terms.
