We are working with an established international organization that is looking to add an Accounting Specialist to its team in Long Island City.

This is a hands-on opportunity for someone with accounts payable, bookkeeping, or general accounting experience who wants to continue building their career. The role will focus primarily on invoice processing, purchase orders, vendor communication, reconciliations, and day-to-day accounting support.

Someone coming from construction, engineering, logistics, infrastructure, or another project-based environment could be a strong fit, but industry experience is not required.

Job Details

The Accounting Specialist will primarily support the accounts payable function while assisting with additional accounting and administrative responsibilities.

This role is best suited for someone who is organized, comfortable working with a high volume of details, and willing to help wherever needed within the accounting department.

Responsibilities
  • Process accounts payable invoices accurately and on time
  • Match invoices to purchase orders and supporting documentation
  • Obtain required approvals and ensure invoices are coded correctly
  • Review invoices and transactions for accuracy
  • Enter and maintain financial data within the accounting system
  • Set up and maintain vendor and supplier records
  • Communicate with vendors regarding invoice and payment questions
  • Research and resolve invoice discrepancies
  • Monitor outstanding accounts payable items
  • Assist with bank and credit card reconciliations
  • Maintain organized accounting records and supporting documentation
  • Monitor shared accounting inboxes and route requests appropriately
  • Assist with basic month-end close and account reconciliation activities
  • Support internal controls and audit documentation
  • Provide additional accounting and administrative support as needed

Qualifications
  • 1–3 years of accounts payable, bookkeeping, or general accounting experience
  • Experience processing invoices and working with vendors
  • Familiarity with purchase orders, invoice coding, and approval workflows
  • Strong data-entry skills with a high level of accuracy
  • Comfortable working in Excel and accounting systems
  • Ability to manage multiple priorities and meet deadlines
  • Clear written and verbal communication skills
  • Experience with QuickBooks Desktop is a plus
  • Experience in construction, engineering, logistics, infrastructure, or project-based accounting is a plus
  • Experience with project coding, job costing, or WIP-related environments is a plus
  • Associate’s or bachelor’s degree in accounting, finance, business, or a related area is preferred but not required
