Accounts Payable & Payroll Processing Specialist
Job Summary
The Accounts Payable & Payroll Processing Specialist is responsible for managing day-to-day accounts payable functions and accurately processing payroll in compliance with company policies and regulatory requirements. This role ensures timely vendor invoice processing, precise payroll execution, and maintains financial records with a high level of accuracy and confidentiality.
Key Responsibilities
Accounts Payable
  • Process vendor invoices, expense reports, and payment requests accurately and on time
  • Match invoices with purchase orders and scrutinize variances
  • Maintain vendor records and respond to vendor inquiries
  • Reconcile accounts payable sub-ledger to the general ledger
  • Ensure compliance with internal controls and accounting policies
Payroll Processing
  • Process payroll on a regular schedule (weekly, biweekly, or monthly)
  • Verify employee hours, salaries, deductions, and benefits
  • Process payroll adjustments, bonuses, and retroactive pay
  • Maintain payroll records and employee confidentiality
  • Coordinate payroll tax filings and year-end forms (W-2s, etc.)
  • Process both onboarding and off boarding documents for both new and terminated employees
Administrative
  • Answer phones
  • Managing office supplies and events
  • Manage project files
  • Misc administrative projects as needed
Qualifications
  • 3-5+ years of experience in accounts payable and payroll processing
  • Knowledge of accounting principles and payroll regulations
  • Experience with various accounting and payroll software
  • Strong attention to detail and accuracy while maintaining a high level of efficiency
  • Ability to handle sensitive and confidential information
  • Adaptability to varying environments

  • Strong organizational and time-management skills
  • Excellent analytical and problem-solving abilities
  • Effective communication skills, both written and verbal
  • Proficiency in Microsoft Excel and financial systems
  • Ability to manage multiple deadlines in a fast-paced environment
  • Flexibility for some overtime to meet end of month/year deadlines
Preferred Qualifications
  • Experience in multi-state payroll processing
  • Experience in Construction
  • Experience in Sales/Use multi-state processing
