Office & Accounting Manager

Pay Rate:$63,000–$73,000/year; Based on experience
Location:Latham, NY (On-site)

Schedule:Monday–Friday, 7:30 AM–4:00 PM

Experience: Must have 3–5 years of accounting and office management experience using QuickBooks
Skills: Strong knowledge of accounts payable, accounts receivable, payroll, general ledger, and financial reporting in the construction or related industry
Software:QuickBooks proficiency required

Our growing client is seeking an experienced Office & Accounting Manager to oversee accounting operations while supporting office administration and human resources. This is an excellent opportunity for a detail-oriented professional who enjoys wearing multiple hats, improving financial processes, and helping drive the success of a growing organization.

Responsibilities of the Office & Accounting Manager will include:

  • Manage accounts payable, accounts receivable, customer invoicing, payment applications, collections, and check runs
  • Prepare journal entries, maintain the general ledger, and support monthly financial reporting and closing activities
  • Process payroll-related accounting, labor allocations, certified payroll, and monthly union remittances
  • Prepare payment applications and maintain accurate financial and project records
  • Track project labor hours, assist with purchase orders, and support job costing activities
  • Perform financial analysis, monitor key performance indicators (KPIs), and identify cost-saving opportunities
  • Coordinate office administration, including office supply ordering, fleet records, and general office support
  • Manage workers' compensation, insurance certificates, and annual insurance audits
  • Support human resources functions, including benefits administration, onboarding, compliance reporting, employee records, payroll support, and time-off tracking
  • Assist with special projects and additional accounting or administrative duties as needed

Qualifications for the role of Office & Accounting Manager:

Required:

  • 3–5 years of accounting and office management experience
  • Proficiency with QuickBooks
  • Experience with accounts payable, accounts receivable, payroll, general ledger accounting, and financial reporting
  • Strong organizational, analytical, and problem-solving skills
  • Proficiency with Microsoft Excel and the Microsoft Office Suite
  • Ability to manage multiple priorities while maintaining exceptional accuracy

Preferred:

  • Associate's or Bachelor's degree in Business or a related field
  • Experience in the construction industry
  • Knowledge of union payroll or union operations
