Florida Natural Areas Inventory (FNAI)

Responsibilities

The Florida Natural Areas Inventory (FNAI) at Florida State University is looking for an experienced professional seeking a flexible position supporting our Accounting Specialist and Program Director in managing the large number of contracts and grants that support our program.

  • Assist FNAI Director with administrative work associated with contract and grant management (develop project budgets from staff provided info, assemble proposals using staff provided content, submit proposals in RAMP system for university approval)
  • Manage the project deliverables tracking spreadsheet and review project awards for all content related to deliverables/invoicing/financial requirements
  • Send email reminders of project deliverable deadlines and provide financial statistics for deliverable reports
  • Follow up with staff to confirm deliverables submissions and to get required financial statistics for invoicing, and work with other FSU departments to ensure timely submission of project invoices
  • Complete sponsor and FSU required financial reporting for projects
  • Approve Purchase Card charges and complete the reconciliation for Office Mgr.'s Purchase Card
  • Serve as Contract Manager for all Contract module submissions
  • Serve as back-up for Office Mgr. for SpearMart requisitions/purchase orders, Purchase Card reconciliations and Timesheet review and approvals
  • Serve as back-up for Accounting Specialist for journal entries, Cost Transfer Justification forms and reviewing project closure forms prepared by other FSU departments
  • Oversee the financial management and tracking of digital sales of FNAI publications on Amazon
  • All other duties as needed and assigned

Qualifications

  • Bachelors degree in accounting, finance, or similar field and two years of experience; or a high school diploma/equivalent and six years of experience in accounting, finance, or similar field.
  • Intermediate or higher level of proficiency with Microsoft Excel
  • Strong verbal and written communication skills
  • Ability to establish and maintain effective working relationships with all levels of staff within a collaborative team environment
  • Skill in gathering, reviewing, interpreting, and reconciling financial and accounting data for accuracy, completeness, and compliance
  • High level of attention to detail

Preferred Qualifications

  • Experience with managing contracts and grants
  • Knowledge of Florida State University financial systems and processes a plus

The Florida Natural Areas Inventory (FNAI) is Floridas Natural Heritage Program and state member of the NatureServe network. We are housed within the Florida Resources and Environmental Analysis Center at Florida State University. As the Florida Heritage Program, one of our primary responsibilities is maintaining a spatial database of information on Floridas rarest species and conservation lands but we also work on an array of applied research projects to inform conservation and land management decision making with funding provided by state and federal agency partners.

Anticipated Salary Range

$28 per hour, commensurate with education and experience.
