Job Summary

The Accounting Assistant supports daily accounting operations by performing routine financial tasks, maintaining accurate records, and assisting with general ledger activities, reconciliations, and financial transactions. This position works closely with accounting staff and other departments to ensure timely and accurate processing of financial information.

Candidates must be actively pursuing a degree in Accounting or Finance. This position is part-time 25 hours per week.

Minimum hourly rate $15.67 per hour

Responsibilities

General Accounting Support - 50%

  • Performs a variety of general ledger functions.
  • Prepares, data entry, scans, attaches, and maintains journals with supporting documentation.
  • Assists with month-end closing activities, including account analysis and reconciliations.
  • Processes data entry for payment requests and manual records (i.e. utility bills, wires).
  • Assists Accountant II with maintaining the utility analysis spreadsheet.

Travel and Expense Processing - 20%

  • Assists with processing travel reimbursements.
  • Reviews travel documentation for completeness and accuracy.
  • Ensures compliance with State Accounting Office (SAO) and Board of Regents/USG procedures.
  • Monitors all travel reimbursements to ensure proper authorization and accuracy of accounting classification.

Administrative and Support Functions - 30%

  • Assists with maintaining the outstanding check listing and preparing 30-60-90 letters.
  • Assists with maintaining the escheated/unclaimed property spreadsheet and courtesy and dormancy letters.
  • Assists with recording incoming ACH payments and/or cash returns to be receipt in the Banner system by the Bursars Office.
  • Provides support to the Bursars Office, including reconciliations, cashiering, and responding to inquiries via phone and email as needed.
  • Assists with maintaining accounting procedures, documentation, and training materials.

Required Qualifications

Educational Requirements

  • Must have completed and passed a Principles of Accounting I class
  • Must be an accounting or finance major

Required Experience

  • Experience working in higher education

Preferred Qualifications

Additional Preferred Qualifications

  • Experience in business and/or accounting preferred.
