Key Responsibilities / Duties

  • Generate, issue, and deliver invoices to customers in accordance with contract terms and company policies.

  • Post and apply customer payments (checks, wire transfers, ACH, credit card, etc.) correctly.

  • Reconcile customer statements and accounts receivable ledger to ensure all payments are accounted for and properly posted.

  • Monitor the accounts receivable aging report and follow up on past?due invoices (send reminders, calls, emails).

  • Investigate and resolve discrepancies, billing issues, or disputes in conjunction with sales, operations, or customer service.

  • Prepare and submit credit memos, adjustments, and unapplied cash entries as necessary.

  • Maintain accurate customer account records, ensuring up?to?date contact, billing, and payment terms.

  • Communicate with customers to clarify invoice or payment issues, establish payment plans if needed.

  • Provide regular AR metrics and analysis (aging, days sales outstanding, bad debt allowance needs).

  • Support month?end closing activities: prepare AR accruals, reconciling AR to the general ledger, and reporting.

  • Participate in audits (internal / external) by providing documentation and explanations of AR transactions.

  • Assist with implementation or improvement of AR processes, automation tools, and internal controls.

  • Cross?train / support in related accounting functions (e.g. accounts payable, cash applications) when needed.
