Job Summary

Supports day-to-day accounting and administrative functions under the direction of the Manager of Finance and Accounting to promote efficient financial processing and office operations. Assists with expense entry and review, accounts payable activities, and preparation of payments while following established procedures and maintaining organized financial records, including basic tracking of restricted and unrestricted funds. Provides support for routine financial reporting and assists with basic reconciliation activities as directed. Maintains donor and gift records by entering and updating gifts, pledges, and payments and reviewing data for completeness and accuracy within system databases. Follows established procedures related to internal controls and segregation of duties and assists with maintaining workflow continuity during high-volume periods.

Provides administrative and operational support through document preparation, supply management, event coordination assistance, and organization of records and materials. Coordinates meetings, prepares materials, records minutes, and maintains key resources such as procedures, calendars, and contact lists to support efficient workflow. Assists with special projects and performs other duties as assigned to contribute to overall departmental effectiveness.

Positions with the KCTCS System Office located in Versailles, KY are term-contract positions, with the expectancy of continuance based on performance.

KCTCS offers a hybrid work schedule with a requirement to be onsite a minimum of 3 days per work week. Hybrid work schedules are subject to periodic review and may be modified or terminated at any time

Job Duties:

Provides day-to-day accounting support by entering and reviewing expenses, assisting with accounts payable processes, and preparing payments and checks. Follows established procedures to help ensure financial transactions are recorded accurately and in a timely manner.

Assists with the preparation of routine and ad hoc financial reports and provides support for basic reconciliation activities. Helps maintain organized records of restricted and unrestricted funds and supports tracking of fund activity in accordance with established guidelines.

Enters and updates donor gifts and payments while reviewing records for completeness and accuracy within system databases. Follows established segregation of duties and assists with maintaining workflow continuity during high-volume periods or staff absences.

Provides administrative support including ordering supplies, assisting with event coordination, filing, and organizing records. Maintains efficient office operations by ensuring documentation and materials are organized and accessible.

Prepares and routes documents for review and signature, including contracts and correspondence. Maintains key operational resources such as procedures, calendars, and contact lists to support timely and efficient workflow.

Assists with meeting coordination, including scheduling, preparing materials, and recording minutes. Supports special projects and performs other duties as assigned to contribute to overall departmental effectiveness.

Minimum Qualifications:

Bachelor''s Degree and four (4) years of relevant experience or equivalent.
