Purpose of Position

Performs patient access duties, including patient registration, scheduling, insurance verification, and payment collection, ensuring a seamless check-in and check-out process. The Access Management Specialist is responsible for verifying patient information, handling inquiries, processing medical records requests, and maintaining compliance with HIPAA and organizational policies. This role plays a vital part in providing an efficient and positive experience for patients while ensuring accuracy in financial and administrative processes.

Shift: 8-4:30 but requires flexibility between 5:30AM - 4:30PM for coverage

Duties and Responsibilities

Essential Functions

  • Performs Patient Registration & Intake:
  • Greet and assist patients and visitors in a professional and welcoming manner.
  • Register patients, ensuring accurate demographic and insurance information.
  • Verify insurance eligibility, coverage, and obtain necessary authorizations.
  • Collect co-pays, deductibles, and outstanding balances; issue receipts.
  • Ensure all required patient forms and signatures are completed.
  • Handles Scheduling & Patient Coordination:
  • Schedule, confirm, and adjust patient appointments as needed.
  • Communicate with patients regarding appointment reminders and instructions.
  • Coordinate with clinical staff to manage patient flow efficiently.
  • Resolve patient inquiries related to scheduling, registration, and billing.
  • Processes Medical Records & Insurance Requests:
  • Manage medical records requests from attorneys, insurance companies, and authorized parties while ensuring compliance with HIPAA regulations.
  • Maintain patient confidentiality and ensure proper documentation handling.
  • Assist with updating and maintaining accurate patient records.
  • Performs Cash Handling & End-of-Day Reconciliation:
  • Process patient payments and reconcile daily collections.
  • Ensure accurate financial transactions and reporting.
  • Investigate and resolve discrepancies in patient payments.

Skills, Knowledge, and Abilities

  • Experience performing patient access duties in a healthcare setting.
  • Knowledge of insurance verification, eligibility checks, patient registration, and medical records management.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.
  • Strong customer service and problem-solving skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and patient access management systems.
  • Excellent communication skills with a focus on professionalism and patient satisfaction. Must be able to see clearly with or without corrective lenses and hear clearly with or without aids.
  • Must be able to use hands, fingers and wrists, repetitively, using a computer keyboard and other office equipment, regularly.
  • Must be able to proficiently speak, read and write in English.
