Job Description:
Essential Duties:
- Provide administrative support for the day-to-day operations of the department’s high-volume, high-revenuetravel program. Responsibilities include facilitating the registration process by collecting necessary information, processing payments, and maintaining accurate records of participants.
- Offer excellent customer service to travelers, addressing inquiries, providing trip information and details, and assisting with resolving any issues or concerns that may arise before, during, or after the trip.
- Manage financial transactions related to the travel program, including invoicing participants, processing payments, and reconciling accounts. Ensure accuracy and timeliness in all financial matters.
- Keep detailed records of past, current, and future tours, including participant lists, trip details, and financial data.
- Collaborate on marketing to promote upcoming tours and programs through various channels, including website, email newsletters, and printed materials.
- Assist with promotion and set up of travel shows three times per year and prep for all pre-trip and post trip meetings.
- Assist with proofing, compiling, and submitting seasonal program copy files requested by our marketing department.
- Complete data entry for trips, outings and programs on multiple platforms; such as, registration software, department website, and print publications.
- Provide administrative support to the 50 Plus Department Manager.
- Review, reconcile, track and process accounting transactions involving facility invoices, requisitions, journal entries, cash summaries and other similar items for approval.
- Compile program indicator numbers for the monthly department report and assist with marketing avenues such as updating website content, travel materials and mailings.
- Ensure all office supplies are replenished and that office equipment, such as printers are in working order, placing service calls when needed.
- Help the entire department in a variety of ways and serve as the main contact number for all general 50 Plus marketing materials.
- Provides on-site registration support to allow patrons to register for any JCPRD program and completes daily cash summaries and reports.
- Provide support and coverage for 50 Plus facilities welcome desks, or event/program assistance at other department offices or with department daytrips, social outings, and nature walks which may require driving a 14-passenger mini-bus.
- The position will close on Tuesday, June 2, 2026, at 5:00 pm.
Job Requirements:
Minimum Job Requirements:
- High school diploma or equivalent
- One year of customer service and clerical/administrative work.
- Strong written and verbal communication.
- Proficient in Microsoft Office Suite.
- Strong customer service skills and experience with serving older adults.
- Proven ability to provide excellent customer service.
- Ability to work independently, and as a team.
- Time management skills including the ability to manage multiple concurrent projects and meet deadlines.
- Attention to detail in spreadsheets, recreation software, proofing, schedules, and tasks.
- Maintain positive and cooperative working relationships with district staff and community partners.
- Possess a valid driver’s license.
- Lifting up to 25lbs.
- All department staff may be required to assist in other program areas which may require driving a 14-passenger transportation vehicle.
- Assisting with outdoor camps and/or programs exposing them to hot or cold temperatures.
Preferred Job Requirements:
- Associate’s degree in Office Management or Business.
