SUMMARY OF ASSIGNMENT The person in this position is responsible for performing a variety of clericalsecretarial tasks and is responsible for providing administrative support to the District office and Departments. Must be able to deal with confidential information. PERFORMANCE RESPONSIBILITIES 1. Create & Support a positive experience for guests through telephone and in person communications. 2. Process interoffice and external mail daily to include the occasional bulk mailings within the District Departments. 3. Assists visitors in the office or departments while following guidelines established for parents community and staff safety. 4. Interacts and works well with parents staff and the general public. 5. Completes a variety of secretarialclerical tasks including typing filing answering phonesintercoms distributing mail etc. 6. Prepare correspondence forms manuals reports purchase orders and payment authorizations as assigned. 7. Maintain accurate administrative records and prepare required reports as needed throughout the District Departments. 8. Assist with arrangements including organizing and copying materials for all District Department meetings. 9. Help district office staff set up for district in house meetings and events. Provide refreshments for meetings as required. 10. Assist District office team and Other Department Directors Transportation Nutrition and Custodial Maint. groups with filing and other clerical supports. 11. Accident paperwork for employees and students file and route to building or departments. 12. Order store and distribute departmental supplies and equipment. Order campus supplies funded by federal funds or departmental general funds. 13. Support district buildings by providing them with requested materials and supplies. Solid computer background with experience using the Google Docs etc. 5. Skill in operating and troubleshooting general office machines. 6. Ability to maintain good public relations and interaction with parents staff and community alike. 7. Must be able to utilize Skyward student records management system and EDS system and develop and maintain spreadsheets. 8. Ability to multi-task and work efficiently and effectively under stress and in an energetic environment. 9. Must respect a confidential nature of family student and administration conversations within the district. 10. Must possess organizational skills willing to help create effective processes and create systems utilizing Excel mail merge Google Docs Power-point etc. 11.
