ROLE AND PURPOSE:
To provide secretarial services for the principal and to facilitate the efficient operations of the school office.
QUALIFICATIONS:
Education/Certification:
- High school diploma or GED from an accredited institution
Experience:
- Computer knowledge/experience (Word, Excel, etc.)
- Experience in bookkeeping
- Experience working with TEAMS software
- Two years of educational secretarial/clerical experience or fifteen hours or more of college business courses
- Previous experience working in a school district preferred
MAJOR RESPONSIBILITIES AND DUTIES:
I. INSTRUCTIONAL MANAGEMENT
II. SCHOOL/ORGANIZATION CLIMATE
- Maintain principal's office calendar.
- Schedule appointments for principals, assistant principal(s), teachers, and maintain calendar.
- Accepts phone calls for principal and assistant principals.
- Types correspondence, memos, handbooks, reports, agendas, etc.
- Submit work orders
- Maintains attendance records for professional staff.
- Prepares faculty and staff absentee forms.
- Prepares substitute forms.
- Verify substitutes monthly payroll
- Assists in securing substitutes in an emergency.
III. SCHOOL/ORGANIZATIONAL IMPROVEMENT
- Maintains office files.
- Attends in-service meetings as requested by the principal and other school district administration.
IV. ADMINISTRATION AND FISCAL/FACILITIES MANAGEMENT
Administers the school's activity fund
Receives receipts and deposits all monies.
Maintains school budget
Enters on computer after principal and central office approval.
Places orders, types purchase orders, enters receiving reports.
Tracks spending; maintains budget files; checks balances on accounts of departments
Keeps inventory of office supplies.
Process fundraisers
Submit contracts
Submit payment authorizations
Maintain confidentiality and confidential documents

- Assists as receptionist.
- Assists with mail.
- Assists in clinic as needed.
