General Function:

The McKinney-Vento Assistant Coordinator provides comprehensive administrative, programmatic, and family support services to ensure effective implementation of services for students and families experiencing housing instability. This position serves as a key point of contact for the Adelante program, supporting daily operations, coordinating resources, maintaining compliance documentation, and facilitating communication between families, school staff, and community partners. The Assistant Coordinator is responsible for implementing assigned components-either partial or full-of select grant-funded programs. The position requires strong organizational skills, attention to detail, cultural responsiveness, and the ability to engage families with professionalism and care while advancing program goals and outreach efforts.

Education/Training/Experience:

Minimum:

Associate's or Bachelor's degree in a related field (e.g., education, social services, public administration, or similar), or an equivalent combination of education and relevant experience demonstrating the knowledge and skills required for the role.

Minimum of two (2) years of experience in an administrative, school, or community-based setting working with families or children; experience in public education or social services.

Experience with data entry, record-keeping, and database systems.

Experience with purchasing processes, budgeting, or office management tasks.

Bilingual in Spanish and English

Valid driver's license and ability to travel locally, as required.

Knowledge/Skills and Abilities:

Knowledge of:

The McKinney-Vento Homeless Assistance Act and its application within a school setting.

School district policies, procedures, and compliance requirements related to student services and program documentation.

Community resources and social service systems that support families experiencing housing instability.

Data management practices, including confidentiality standards (e.g., FERPA) and accurate record-keeping.

Basic accounting or procurement processes, including purchase orders and budget tracking.

Skills:

Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.

Effective communication skills, both verbal and written, with the ability to interact professionally with families, staff, and community partners.

Skilled in customer service and family engagement, demonstrating empathy, cultural responsiveness, and professionalism.

Essential Job Functions:

All functions are performed in accordance with established policies, procedures, safety and environmental regulations, facility and computer security policies and procedures. Functions are subject to change from time to time to meet the needs of the District. Current essential functions include but are not limited to the following:

1) Respond to and manage incoming phone calls, providing information and directing inquiries as appropriate.

2) Screen families for Adelante eligibility, ensuring accurate and timely determination of program participation.

3) Conduct family intakes, gathering required documentation and orienting families to available services and supports.

4) Register siblings (ages 0-4) of Adelante students and enter all required information into the district's data system with accuracy and timeliness.

5) Maintain and update required data and records related to services provided to families, ensuring compliance with district, state, and federal requirements.

6) Generate, submit, and track purchase orders in accordance with district policies and procedures.

7) Manage purchase requests, ensuring proper documentation, approvals, and alignment with program needs.

8) Coordinate and process staff travel paperwork, including pre-approvals, reimbursements, and required documentation.

9) Manage SchoolDude (or equivalent) service requests, including submission, monitoring, and follow-up to completion.

10) Implement assigned components-either partial or full-of select grant-funded programs.

11) Support warehouse operations, including organizing inventory, tracking supplies, and assisting with distribution of materials to families and schools.

12) Attend community presentations and events to support program visibility and collaboration with community partners.

13) Participate in Adelante outreach presentations, contributing to community engagement and identifying potential funding opportunities.

14) Identify, develop, and maintain community partnerships and resources to expand supports available to Adelante families..

15) Attend and actively participate in required weekly program meetings.

16) Perform other duties as assigned in support of the McKinney-Vento and Adelante programs.

Salary Range:

$55,00-$60,000

Physical/Cognitive Requirements:

Ability to lift up to 30 pounds frequently. Manual dexterity to operate office equipment.

Environmental Conditions:

Most duties are performed in an indoor office environment. The position requires the ability to sit for extended periods while conducting intake interviews and working at a computer. Occasional fieldwork is required, including home visits, school meetings, and attending agency meetings. The role involves light physical activity such as walking, bending, and reaching.
