OverviewA leading international professional services organization is seeking a Staff Recruiting Assistant to support its Talent Acquisition team. This role plays a critical part in coordinating recruitment activities, maintaining recruiting systems and records, and ensuring a positive candidate experience throughout the hiring process.

This position offers an excellent opportunity to gain exposure to all phases of the recruitment lifecycle while partnering closely with human resources professionals, hiring managers, and candidates.
Responsibilities- Prepare and distribute regular recruiting communications and updates.
- Scan, upload, organize, and maintain recruiting documents within the Applicant Tracking System (ATS).
- Manage ATS records, including applicant dispositioning, candidate status updates, and duplicate file maintenance.
- Post and remove job openings on internal and external career platforms.
- Create and maintain electronic recruiting files and related documentation.
- Manage job advertisements and postings across external recruiting websites and job boards.
- Coordinate and track candidate assessments and skills testing.
- Maintain recruiting trackers, reporting tools, spreadsheets, and project management platforms.
- Process new hire and contingent worker documentation, including background, compliance, and conflict clearance submissions.
- Maintain accurate records and tracking for temporary staff, contractors, and other non-employee workers.
- Schedule and coordinate virtual and in-person interviews.
- Welcome and assist candidates during onsite interview visits as needed.
- Process recruiting-related invoices, expenses, and vendor payments.
- Support employee engagement programs, recognition initiatives, and other Human Resources-sponsored events.
- Assist with special projects and administrative tasks in support of the Talent Acquisition and Human Resources teams.
Requirements- Associate degree, two-year college degree, or equivalent combination of education and experience.
- Minimum of one year of administrative support experience, preferably within a professional services, corporate, legal, or human resources environment.
- Prior experience in a law firm or professional services organization is a plus.
- Strong proficiency in Microsoft Office applications, particularly Word and Excel.
- Experience with Applicant Tracking Systems (ATS), HR systems, Smartsheet, or similar recruiting technologies preferred.
- Ability to maintain confidentiality and exercise discretion when handling sensitive information.
- Excellent organizational, communication, and problem-solving skills.
- Strong attention to detail and ability to produce accurate work in a deadline-driven environment.
- Ability to effectively prioritize multiple tasks and manage competing priorities.
