Job Summary:
The Warehouse Office Clerk / Customer Service Representative supports warehouse operations through clerical, administrative, and customer-facing duties. This role ensures accurate documentation, effective communication between internal teams and external customers, and prompt resolution of customer inquiries related to orders, shipments, and inventory.
Key Responsibilities:
Warehouse & Administrative Duties:
- Maintain accurate inventory records using warehouse management systems (WMS).
- Prepare and process shipping and receiving documents (bills of lading, packing slips, invoices, etc.).
- Coordinate incoming and outgoing shipments with carriers and warehouse staff.
- Perform data entry, filing, and documentation of warehouse transactions.
- Track inventory levels and report discrepancies, damages, or shortages.
- Assist in cycle counts, audits, and physical inventory checks.
- Generate and distribute warehouse performance and inventory reports.
- Ensure proper documentation and compliance with company policies.
Customer Service Representative (CSR) Duties:
- Serve as the first point of contact for customer inquiries via phone, email, or in person.
- Provide timely updates on order status, shipping timelines, and product availability.
- Resolve customer complaints or issues related to orders, deliveries, or product conditions.
- Process customer orders, returns, and exchanges in coordination with the warehouse team.
- Communicate clearly and professionally with customers, vendors, and internal departments.
- Maintain customer records and update account information as needed.
- Follow up on backorders, delays, or service disruptions and communicate proactively.
- Support the sales or logistics team with customer-related data and documentation.
Qualifications:
- 1–2 years of experience in a warehouse, logistics, or warehouse customer service role.
- Proficiency in Microsoft Office (Excel, Word, Outlook); experience with WMS or ERP systems is preferred.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Attention to detail and problem-solving skills.
- Ability to work independently and collaboratively in a fast-paced environment.
Working Conditions:
- Office environment located within a warehouse facility- sometimes based out of the warehouse floor.
- Standard business hours with some flexibility based on operational needs.
