Our client, a well-established real estate services organization in Philadelphia, is seeking a contract-to-hire Office Coordinator to join their team. This role serves as the primary point of contact for all incoming visitors and guests, while maintaing office operations. This role is ideal for a detail-oriented team-player who is able to jump in and support a collaborative team.
About the Job:
- Serve as the primary point of contact for the office by greeting guests, answering the main phone line, and directing inquiries appropriately.
- Coordinate office logistics including mail and package distribution (USPS, FedEx, UPS, couriers), deliveries, and routing items to other locations as needed.
- Maintain office appearance and functionality across shared spaces including conference rooms, breakrooms, supply areas, and equipment stations.
- Manage conference room scheduling, set‑up, supplies, and overall cleanliness to ensure readiness for meetings and visitors.
- Arrange and track vendor services and office operations such as facilities maintenance, equipment servicing (copiers, phones, etc.), security access, supply ordering, and building management coordination.
About You:
- You are professional, approachable, and comfortable serving as the first point of contact for a diverse group of internal and external visitors, including colleagues, vendors, and professional partners.
- You thrive in fast‑paced, occasionally high‑stress environments and are adaptable to a wide range of work and communication styles.
- You are collaborative and dependable, with a willingness to pitch in and support the team wherever needed.
- You are detail‑oriented and organized, with a strong sense of responsibility for maintaining a safe, secure, and well‑run office environment.
- You are proactive and open to learning, with interest in growing your skill set (notary experience is a plus, with support to obtain one if needed).
This contract-to-hire opportunity is onsitebased in Philadelphia, and offers up to $28.50/hour, or 60k if brought on permanently. This opportunity is ideal for a tech‑savvy, detail‑oriented professional with experience managing office operations and supporting a dynamic team.
