Job Title: Dental Receptionist / Treatment Coordinator/Patient Coordinator

Employment Type: Part-Time

Reports To: Practice Owner/Dentist

Location: Mid -Wilshire

Compensation: $25-28/hour

Work Schedule:
  • Tuesday and Thursday 9AM - 6 PM 
  • A couple Saturdays/month from 9-2p,

Position Summary:
We are hiring a warm, confident, and service-driven Dental Receptionist / Treatment Coordinator to be the voice, face, and heart of our practice. This hybrid role requires more than just answering phones—you will be guiding patients through life-changing cosmetic and pain management  journeys.

You will:
  • Help patients understand their options.
  • Present treatment and financial plans with clarity.
  • Build trust with patients over the phone and in person.
  • Manage scheduling and case follow-up with precision and empathy.
This is a pivotal role in creating a consistent, high-quality experience from consultation to completion.

Key Responsibilities:
Front Desk & Patient Communication:
  • Welcome patients and families with warmth and professionalism.
  • Answer phones, texts, and emails promptly and positively.
  • Schedule consultations, surgeries, and cosmetic treatments with attention to flow and follow-up.
  • Manage digital forms and online scheduling systems.
  • Triage inquiries, gather relevant details, and hand off to clinical team as needed.
  • Send confirmations, reminders, and pre-appointment instructions.

Treatment Coordination (Implant/Endo/Cosmetics Focus)"
  • Present complex treatment plans involving extractions, implants, root canals, and TMJ pain therapy with Botox.
  • Explain procedures clearly and confidently using language that inspires trust.
  • Discuss financial options, insurance estimates, and payment arrangements.
  • Help patients feel confident saying “yes” to high-value care by overcoming objections with empathy, not pressure.
  • Follow up on pending treatment or unscheduled cases with tact and consistency.
  • Assist with treatment planning coordination across multiple visits or providers.
Insurance & Financial Communication:
  • Verify insurance eligibility and benefits (where applicable).
  • Accurately calculate and communicate patient out-of-pocket estimates.
  • Guide patients through third-party financing (e.g., CareCredit).
  • Process or direct payments securely via in-office or online platforms.
  • Document and track financial agreements within the patient record.

Administrative Support"
  • Maintain EHR accuracy, patient records, and consent forms.
  • Prepare treatment notes, pre-surgical checklists, and digital documentation.
  • Ensure HIPAA compliance and organized digital charting.
  • Communicate efficiently with clinical and administrative team members to ensure seamless care.
What We’re Looking For:
Required:
  • 2+ years of experience in a dental front office or treatment coordinator role.
  • Experience with cosmetic or implant case presentation and scheduling.
  • Confidence in discussing finances and guiding patient decisions.
  • Familiarity with dental terminology (crowns, implants, veneers, whitening, etc.)
  • Strong communication and follow-through skills.
  • Tech-savvy and comfortable with practice management and scheduling software.  Eaglesoft knowledge is a MUST.

Preferred:
  • Experience in a fee-for-service or high-end cosmetic dental practice.
  • Experience with third-party financing platforms.
  • High emotional intelligence and excellent listening skills.
