Position: Temporary Talent Acquisition Coordinator/HR Coordinator
Reports to: West Region-Talent Acquisition Manager 
Location: Irvine, CA
  
*This role will support the Talent Acquisition during our busy season and then transition to support the HR Team. The position is anticipated to last through 2026 but may change if the business needs change.   

The Talent Acquisition Coordinator (TAC) will work closely with Talent Acquisition Team and Business Partners in all aspects of the recruiting process and execution of Talent Acquisition strategy. The TAC is responsible for full utilization of the applicant tracking system (ATS). The TAC interacts with internal and external candidates at various stages of the recruiting process, such as managing candidate pre-employment assessments and backgrounds checks. Will assist with audits as needed for the requisition approval process to ensure accuracy prior to posting positions for compliance and consistency with internal policies and protocol. Will prepare the candidate for on-boarding and ensure a smooth transition into the company's payroll. The TAC will also provide key operational support to the TA Team to aid in execution of successful on boarding and in other aspects of the recruiting process, such as research, creative sourcing programs, activities, reporting, university relations and other strategic initiatives based on business need.
 
The HR Coordinator (HRC) partners closely with the California Human Resources team to support core HR operations, ensuring efficient processes, accurate recordkeeping, and responsive employee support. This role handles a variety of administrative, communication, and problem-solving responsibilities across HR programs, while also assisting with special projects and departmental needs.
 
Compensation:  $25-$26hr
 
FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.

Talent Acquisition Coordinator (TAC)Key Responsibilities:

Applicant Tracking System
  • Will assist with audit on data input and status of recruitment activities in ATS
  • Responsible for critical steps of the recruitment process; organizing/scheduling interviews, drafting offers and initiating pre-employment activities such as backgrounds and assessments.
  • Ensure system data integrity. 
New Hire Workflow Process 
  • Responsible for the New Hire Workflow process, from initial audit of new hire workflow requests to completion of New Hire Workflow requests.  
Candidate Support
  • Ensures accuracy of data fields to assist in candidate on boarding
  • Keeps in touch with candidates as needed throughout the process to insure successful on-boarding
  • Engages candidates at all levels in a respectful and professional manner in order to provide a positive candidate experience 
Special Projects
  • Monitor brand awareness on external portals
  • Assist in building candidate pipeline
  • Support college recruiting relations and summer hiring
  • Manage entry level recruitment functions such as reviewing resumes, reviewing job ads, etc. 
HR Coordinator (HRC)Key Responsibilities:
  • Support day-to-day HR operations, including employee records management and HRIS updates
  • Serve as a key contact for employee inquiries, providing timely communication and issue resolution
  • Assist with HR programs, projects, and internal communications across teams
  • Provide cross-functional support to HR team members as needed
  • Manage HR & Payroll inboxes to ensure timely responses and accurate processing
  • Support new hire administration, including managing ADP new employee push-throughs, sending welcome emails, data entry, and processing Adobe onboarding paperwork
  • Assist with onboarding activities, including tracking new hire documentation, managing I-9 completion, and coordinating communications
  • Manage DMV audit processes, including biweekly DMV pull notifications and filing high-volume documentation (100+ forms per audit cycle)
  • Support payroll processing by auditing payroll registers, initiating check requests, and generating payroll-related reports
  • Manage termination workflows, including timecard finalization, timely final paycheck processing, completion of termination paperwork, and processing employee separations in HR systems

  • Practice and adhere to FirstService Residential Global Service Standards.
  • Conduct business at all times with the highest standards of personal, professional and ethical conduct.
  • Perform or assist with any operations as required to maintain workflow and to meet schedules.
  • May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and Standard Operating Procedures as instructed by
  • Management. Perform any range of special projects, tasks and other related duties as assigned.  
Education & Experience
  • Bachelor's degree in Human Resource Management, Communications, Business or equivalent preferred
  • Minimum of two years of experience in either agency or corporate recruiting; full-cycle recruitment experience preferred
  • Bilingual Spanish Preferred
  • Prior ATS experience is strongly preferred 
Knowledge, Skills & Proficiencies

  • Working knowledge of general employment practices, with additional experience in employee recruitment and selection.
  • Prior experience phone screening entry level positions in a high-volume environment
  • Previous payroll processing experience preferred
  • Prior experience managing I‑9 employment eligibility verification and compliance processes preferred
  • Ability to understand, articulate and represent FirstService Residential business
  • The ability to be flexible and adaptable to support internal customer needs.
  • Excellent ability to multi-task and prioritize workload.
  • Intermediate computer skills, especially Microsoft Outlook, Microsoft Excel, Word, & ATS's
  • Experience using social media tools for sourcing efforts including search engines, resume mining, Facebook, LinkedIn, Twitter and blogs
  • Position communicates with numerous personnel, both inside and outside the Company.
  • Possess excellent problem solving skills that can be applied to business issues.
  • Ability to build relationships with candidates and hiring managers at all level of the organization in order to ensure a positive candidate and hiring manager experience both internally and externally to the organization.
