Job Title: IT Team Coordinator

Primary Function:
The IT Team Coordinator role provides essential operational and administrative support to the Information Technology department. This is a business operations and coordination role within the IT organization, not a hands-on technical position. The role focuses on process management, documentation, compliance, and coordination of IT activities. Serving as the primary point of contact for routine IT requests, ensuring accurate tracking and documentation of IT activities, and supporting compliance, asset management, and day-to-day IT operations. The IT Team Coordinator plays a key role in keeping the IT organization organized, responsive, and audit-ready.Duties & Responsibilities
Employee may be called upon to perform any or all of the following functions:
- Answer the IT help desk phone and serve as the first point of contact for users.
- Create, document, prioritize, and assign help desk tickets to appropriate IT staff.
- Follow up on open tickets to ensure timely resolution and clear communication with users.
- Prepare, maintain, and track SOX-related IT documentation and control evidence.
- Assist with change management documentation, approvals, and recordkeeping.
- Audit and maintain IT asset and inventory records (hardware, software, licenses).
- Coordinate user onboarding and offboarding tasks (account setup, access requests, equipment tracking)The IT Team Coordinator role provides essential operational and administrative support to the Information Technology department. - Schedule/facilitate maintenance windows, meetings, and vendor appointments.
- Maintain IT documentation, procedures, and knowledge base articles.
- Support IT leadership with reporting, metrics, and administrative tasks.

Minimum Qualifications / Experience
Associate’s or Bachelor’s degree in Business Administration, Office Administration or a related field preferred. Equivalent professional experience will be considered.
Technical & Operational Skills
- Experience using business software and Microsoft 365 tools.
- Familiarity with basic IT concepts (user accounts, hardware, software, networking fundamentals).
- Experience with documentation, recordkeeping, and process tracking.
- Working knowledge of Microsoft Office and collaboration tools (Outlook, Excel, Word, Teams).
- Comfortable coordinating with vendors, internal teams, and non-technical users.
- Exposure to SOX controls, change management, or compliance processes is a plus.
Professional Experience
- 2–5 years of experience in an administrative coordinator, office operations, or business support role. Experience working in or alongside an IT, operations, or compliance-driven department is a plus.
- Demonstrated ability to manage multiple tasks and priorities simultaneously.
- Experience maintaining inventories, documentation, or audit support materials.
- Prior experience in a regulated or compliance-driven environment preferred.

- Ability to stand and walk intermittently during office or site visits.
- Ability to travel to project sites and offices as required (typically short-duration visits).
- Field / Site Visit Requirements (Occasional)
- Ability to walk on uneven terrain, gravel, and graded surfaces typical of substation construction sites.
- Ability to navigate active construction environments, including:
- stairs, ramps, temporary walkways
- partially completed structures
- Ability to climb stairs or ladders to access elevated work areas or control buildings (not continuous climbing).
- Ability to wear required PPE, including hard hat, safety glasses, steel-toe boots, FR clothing , and hearing protection as needed
- Working extended hours, including weekends, may be required periodically.
