Staff Accountant
About the Role
We are seeking a detail-oriented and proactive Staff Accountant to join our growing team. This role offers a well-rounded mix of Accounts Receivable, Accounts Payable, and general accounting responsibilities, making it ideal for someone who enjoys variety and ownership in their work.
You’ll work closely with the Controller and play a key role in ensuring accurate financial reporting, strong cash flow management, and efficient day-to-day accounting operations.
Key Responsibilities
Accounts Receivable
- Process customer invoicing across various order types (domestic, international, drop shipments)
- Apply and reconcile incoming payments (credit cards, wires, lockbox, ACH, etc.)
- Manage customer credit lines, terms, and account setups
- Monitor aging reports, follow up on past-due accounts, and coordinate payment plans
- Place accounts on credit hold and manage release approvals
- Resolve billing discrepancies and maintain accurate customer records
- Process returns (RMAs), credits, and adjustments (pricing, tax, freight, etc.)
- Maintain resale and tax-exempt certificates
- Manage customer portals, including invoice uploads and payment tracking
Accounts Payable
- Perform three-way matching and process vendor invoices
- Manage vendor pricing programs, including ship & debit activity
- Prepare monthly ship and debit claims
- Reconcile vendor statements and resolve discrepancies
- Process vendor payments (check, ACH) and communicate payment timelines
- Reconcile company credit cards and freight invoices (FedEx, UPS, etc.)
- Support cash flow tracking and forecasting
General Accounting
- Reconcile bank accounts and key balance sheet accounts
- Monitor and reconcile inventory and related discrepancies
- Prepare and maintain accruals and prepaid expense schedules
- Assist with monthly sales tax reporting and filings
- Support month-end close activities, including journal entries and reconciliations
- Assist in preparing monthly financial statements and variance analysis vs. budget/prior year
- Participate in budgeting and forecasting processes
- Provide backup support across the accounting team as needed
Qualifications
- Bachelor’s degree in Accounting, Finance, or related field
- 2+ years of accounting experience (AR/AP + general accounting preferred)
- Strong understanding of accounting principles and financial processes
- Experience with ERP systems and Excel
- Excellent attention to detail and organizational skills
- Ability to manage multiple priorities in a fast-paced environment
- Strong communication and problem-solving skills
