Summary



The Senior Producer, part of the larger Sparks team of producers, creatives, specialists, is responsible for working effectively with client and internal teams to deliver event solutions in A/V, design, build, and logistics that drive client results and meet Sparks’ financial requirements. Responsibilities include establishing program best practices and efficient workflow across teams; supporting the opportunity engagement process from proposal through development, execution and reconciliation; identifying solutions and leveraging technologies that set our brand and program delivery apart from our competitors; and accountability for creating, managing and reconciling budgets.


This role is eligible to work a hybrid schedule, generally requiring 2–3 days per week in-office based out of Philadelphia, PA or surrounding regions.


Essential Duties & Responsibilities



+ Lead the execution of medium and/or large projects with a strong focus on show production in various types of events including corporate client events, association programs, consumer and experiential activations, sales kickoff meetings, product launches, marketing announcements, video shoots, investigator meetings, summits, roadshows and experiential activations

+ Serve as project manager, leading the team and establishing all documentation, driving deliverables, budget, and communications

+ Develop, manage and communicate project milestones and timelines for all components of the defined scope

+ Lead all internal and external project meetings including project kickoffs, finance kickoff, assessments, weekly team meetings, client budget reviews, and debriefs

+ Ensure client satisfaction, upholding quality of work to meet client expectations

+ Lead the development of the production schedule, production workbook, client playbook and decks

+ Maintain Sparks standards and processes throughout the event planning process

+ Participate in creative development when appropriate

+ Provide best practice and future event recommendations based on experience with the client

+ Responsible for the management of project resources and vendors. Compiles project lifecycle plans, workflows, timelines, playbooks, and decks. Oversee onsite/virtual staffing and vendor management, signage and graphics development, video production, talent and rider management, scenic design and builds, content and asset management, speaker resource centers, speaker management, onsite rehearsal rooms, expo management and develops contingency plans

+ Work cross-functionally with teams (technical direction, AV, sales, strategy, design & creative, digital, operations, sponsorship, conference & events, expo, reg/housing/tech) to lead projects with general sessions and content

+ Build out a project team, assign and monitor workload of staff. Develop and execute engagement strategy to maximize utilization targets

+ Partner with sales team and manage project profitability. Create appropriate budget estimates, negotiate SOWs, ensure work is on budget, and issue supplier POs timely and ensure all internal and external vendors costs are accounted for and paid based on developed schedules

+ Act as the main point of contact for clients including guiding clients through project's lifecycle and expertly coaching them on best practices, production, budget, timeline and key impacts

+ Creates, maintains and reconciles full project and/or workstream budgets. Ensures project/workstream is within budget and meets or exceeds all profit margin goals. Keeps a proactive eye on any deviations, escalating up to project lead and/or management. Manages vendor invoice/expense tracking

+ Lead communication and information flow between internal teams, vendors and the client. Skillfully act as a liaison and strategic problem-solver between all parties

+ Ensure flawless execution, quality of service and timely delivery of all necessary components, properties, and materials for each event

+ Negotiate contracts/agreements with third-party vendors and contingent talent

+ Lead department-wide internal initiatives (examples: Production Freeway page, Table Talks, Project Spotlights)

+ Budget Management:• Develop, manage and communicate project budgets upwards of $1-2M+ that meet the goals of and display value to the client • Track budget costs throughout the course of project, communicate scope changes that affect budget to the client in a clear manner


Education & Experience



+ Bachelor's Degree preferred

+ 8 - 10 years’ experience in the agency and production industry space, specializing in creative & strategy, multi-dimensional design, program development, and execution for Fortune 500 clients

+ Experience with various project types, including live events, consumer marketing, web, mobile, video, brand, and strategic consulting

+ Experience in sourcing and managing all aspects of live events, including AV for entertainment, general session and breakouts, onscreen content production, video production, exhibit and trade shows, graphics, event flow, creative, as well as sourcing and managing both US and international vendors

+ Experience with various project types, including live event, consumer marketing, web, mobile, video, brand, and strategic consulting

+ Proven experience managing up to million-dollar accounts successfully

+ The ability to translate creative concepts into a real-life brand experience and to define solutions that will generate measurable results for the client

+ Strong presentation, verbal and written skills

+ Ability to think quickly under pressure, as well as motivate and engage the team to produce the best possible results

+ Ability to act with diplomacy and tact in challenging situations and in dealing with different personality types and working styles

+ Ability to maintain a high-level of enthusiasm under constantly changing timelines and deliverables

+ Must possess excellent negotiation skills (especially contract negotiations) with both clients and partners

+ Proven computer skills in all MS Office programs, Google Suite, and ability to adapt quickly to new software.
