The Site Administrative Assistant provides administrative, scheduling, travel, and office support for remote camp operations, ensuring accurate records, smooth daily workflows, and professional communication while contributing to a safe and well‑organized camp environment.

Administrative

  • Trackemployeeschedules,bookandtracktravelarrangementsinatimely,efficientandcost-effective manner; ensure all accounting documentation is in place
  • Gatherandrecordappropriateemployee,contractorandvisitorinformationinatimelymanner;ensure that the personnel tracker is always up-to-date
  • Setupandmaintainofficenetworkoflaptops,printersandphones
  • Generatetentassignmentsforincomingpersonnel
  • Assistwithnewhirepaperworkandproceduresinacompliantandpromptmanner
  • Register personnel with timekeepingsystem, trainon its use and troubleshoot the application; gather signed time sheets at the end of the pay period
  • Answer and direct phone calls
  • Enterfuelloginformation;identifyandcommunicateanydiscrepancies
  • Produce anddistribute professional memos, lettersand formsandposters
  • Developandmaintainanofficefilingsystem
  • Maintain inventoryandorder officesupplies
  • Providegeneralsupporttovisitors
  • Recordanddisseminateaccurateandprofessionalmeetingminutes
  • Assistwithorientingnewstaff,visitorsandcontractors;maintainaccuraterecordoforientationcompletion
  • Assist with bag searches
  • Create and maintain updated electronic communication board information
  • Facilitatearegularscheduleofvariedcamprecreationalactivities
  • Collaborativelyproblem-solveandaddressineffectiveprocedures
  • Assist with inventory management
  • Photocopyandprintoutdocumentsonbehalfofothercolleagues
  • Performdataentryandscandocuments

QUALFICATIONS

Educationandtraining

  • HighSchoolDiplomaorGED
  • Officemanagementcoursework,certificationordegreepreferred

Experience

  • Aminimumof1yearofexperienceinanadministrativeorclericalroleisrequired,workinaremote setting

Working Conditions

  • WorktakesplaceinanofficetentonaremoteexplorationHowever,exposuretoinclementweather conditions(includingsnow,rain,windaswellasextremelywarmorcoldconditions)iscommon.

This is a seasonal position, expected to work from April to October, on a rotational schedule.
