The Site Administrative Assistant provides administrative, scheduling, travel, and office support for remote camp operations, ensuring accurate records, smooth daily workflows, and professional communication while contributing to a safe and well‑organized camp environment.

Administrative
- Trackemployeeschedules,bookandtracktravelarrangementsinatimely,efficientandcost-effective manner; ensure all accounting documentation is in place
- Gatherandrecordappropriateemployee,contractorandvisitorinformationinatimelymanner;ensure that the personnel tracker is always up-to-date
- Setupandmaintainofficenetworkoflaptops,printersandphones
- Generatetentassignmentsforincomingpersonnel
- Assistwithnewhirepaperworkandproceduresinacompliantandpromptmanner
- Register personnel with timekeepingsystem, trainon its use and troubleshoot the application; gather signed time sheets at the end of the pay period
- Answer and direct phone calls
- Enterfuelloginformation;identifyandcommunicateanydiscrepancies
- Produce anddistribute professional memos, lettersand formsandposters
- Developandmaintainanofficefilingsystem
- Maintain inventoryandorder officesupplies
- Providegeneralsupporttovisitors
- Recordanddisseminateaccurateandprofessionalmeetingminutes
- Assistwithorientingnewstaff,visitorsandcontractors;maintainaccuraterecordoforientationcompletion
- Assist with bag searches
- Create and maintain updated electronic communication board information
- Facilitatearegularscheduleofvariedcamprecreationalactivities
- Collaborativelyproblem-solveandaddressineffectiveprocedures
- Assist with inventory management
- Photocopyandprintoutdocumentsonbehalfofothercolleagues
- Performdataentryandscandocuments

Communication

QUALFICATIONS
Educationandtraining
- HighSchoolDiplomaorGED
- Officemanagementcoursework,certificationordegreepreferred
Experience
- Aminimumof1yearofexperienceinanadministrativeorclericalroleisrequired,workinaremote setting

This is a seasonal position, expected to work from April to October, on a rotational schedule.
