Service Coordinator Responsibilities:
Service Department Coordination:
- Serve as the main point of contact for all incoming service requests; assign work order numbers and track progress from start to finish.
- Dispatch Service Technicians based on skill set, location, customer needs, and job priority.
- Communicate with Technicians daily to review job scope, schedules, and upcoming assignments.
- Collaborate with the Office Manager and/or Service Manager to schedule service projects for maximum efficiency and profitability.
- Issue purchase orders for service materials and coordinate with subcontractors and suppliers.
- Verify weekly payroll against service ticket hours and posted labor for accuracy.
- Monitor service tickets to ensure timely submission and follow up on open work orders.
- Review service ticket details for accuracy and completeness to support smooth invoicing.
- Participate in daily, weekly, and monthly planning meetings with management.
- Communicate with customers regarding service requests, scheduling, and project updates.
- Conduct follow‑up calls after service completion to ensure customer satisfaction.
- Provide proactive communication for new customers before, during, and after service.
- Partner with the Service Manager to review customer activity, call frequency, and track sales by service personnel.
- Maintain backflow testing contracts, schedules, and customer files.
- Submit backflow reports to townships and customers as required.
- Upload and attach all relevant documents to work orders for accurate tracking.
- Complete permit requests and maintain CSD1 documentation.
- Manage inspection forms, stickers, and standardized service department forms.
- Coordinate and maintain preventive maintenance (PM) contracts.
- Assist with other service-related tasks as needed.
- Previous experience in service coordination, dispatching, or administrative support preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and customer service abilities.
- Ability to multitask and prioritize in a fast‑paced environment.
- Proficiency with scheduling systems, work order software, and Microsoft Office Suite.
- Experience working with technicians, subcontractors, or field service teams is a plus.
