POSITION SUMMARY

The Service Coordinator is responsible for scheduling and dispatching service technicians, supporting efficient work order flow, coordinating parts procurement, and maintaining strong communication with customers and internal teams. This role ensures service commitments are met on time and within budget while enhancing the customer experience through proactive coordination, logistical support, and administrative accuracy.

PRIMARY OBJECTIVES

• Ensure effective scheduling and dispatching of service technicians to meet customer needs and maximize field productivity.

• Provide logistical, administrative, and material support to ensure work orders are executed efficiently and accurately.

• Act as a liaison between field personnel, customers, and internal departments to uphold service standards and customer satisfaction.

• Manage procurement and inventory tracking for service materials and equipment.

ESSENTIAL DUTIES & RESPONSIBILITIES

• Coordinate daily, weekly, and monthly schedules for service technicians based on skillset, location, and workload.

• Dispatch technicians to meet scheduled and emergency service calls, adjusting as necessary for priority changes.

• Maintain ongoing communication with customers regarding technician ETA, scheduling updates, and any delays.

• Log and track all service calls, documenting customer information, nature of service, and dispatch details.

• Qualify service requests to determine urgency and ensure optimal scheduling and technician utilization.

• Support the service team with materials, tools, and equipment delivery coordination.

• Issue and track purchase orders for parts and materials requested by field personnel; maintain PO documentation.

• Coordinate returns of unused materials and issue credit POs as appropriate.

• Monitor truck stock and warehouse inventory levels; assist Service Manager in managing stock replenishment.

• Maintain awareness of high-risk customers; coordinate with Service Manager prior to dispatch for approval.

• Provide excellent customer service, communicating clearly and professionally in all interactions.

• Capture and report potential sales leads or upgrade opportunities to the sales team.

• Maintain accurate and timely completion of work order records and technician time reports.

• Support internal collaboration between service, sales, warehouse, and accounting teams.

• Maintain a clean and organized work area.

• Comply with all company Health, Safety, and Environmental policies.

SKILLS & QUALIFICATIONS

• Education: High school diploma or equivalent required.

• Experience: Minimum of 3 years’ experience in dispatching, coordination, or administrative support within a service-based industry (HVAC/plumbing preferred).

• Technology: Proficient in MS Office Suite and service dispatch software (BuildOps experience a plus).

• Communication: Strong verbal and written communication skills with a professional demeanor.

• Organizational Skills: Highly organized, detail-oriented, and able to multitask in a fast-paced environment.

• Problem Solving: Strong reasoning and decision-making abilities under pressure.

• Math & Language: Basic arithmetic and English language skills required for documentation, communication, and inventory tasks.

PHYSICAL REQUIREMENTS

· Ability to sit for extended periods using a computer.

· Occasional visits to job sites, which may include walking on uneven ground, climbing ladders, and exposure to construction environments.
