Duties will include property management duties for assigned properties including lease documentation, broker interface, assist collections process as executed by Collections Manager, site maintenance, approval and processing invoices, TI coordination, rehab coordination, budget preparation and monthly asset management reporting.
Key Responsibilities for this position include the following.
MAINTENANCE:
· Enforces rules and guidelines for Vendors regarding assigned properties.
· Monitors contractor/vendor daily work schedules for completion and follow through.
· Inspects tenant improvements and unit rehabs for code violations and quality of work.
· Coordinates with contractors.
· Obtains bids as needed.
· Performs Walk-throughs on vacated units, allocating costs to Tenants and applying security deposits as needed. Handles all move-in/move-out inspections.
· Deals with building and safety as needed. Maintains copies of permits on file as needed.
· Regular inspection of buildings and grounds completing check lists, making recommendations for repairs, maintenance and capital improvements.
· Make recommendations for changes in property services with new procedures or equipment to increase cost effectiveness while maintaining owners standard of quality.
· Correspond with Tenants for all actions relating to maintenance and/or property rules and regulations.
· Coordinates resolution of insurance claims for property damage.
ADMINISTRATION:
· Assist negotiations and preparation of leases, including negotiation of specific lease language.
· Issues purchase orders, approves and processes when invoice comes in.
· Maintains files on building/property related operations to include H.V.A.C., roofs, parking, etc.
· Advise Tenants on special situations such as conditional use permits, waivers and consents, notice of non-responsibilities, insurance certification, business licenses, hazardous waste, etc. Prepares and handles all tenant correspondence.
LEASE ADMIN:
· Review/revise general ledgers, vacancy reports,
· Maintain good customer relations.
· Update vacancy information, tenant emergency information.
REPORTING:
· Review/revise monthly reports as requested.(Using Yardi, MS Word and Excel.)
· Review monthly asset management report for owners (Screenland and Corsa specifically.)
