The Senior Analyst, Operations (New Here Coffee) supports national operations by ensuring financial accuracy, optimizing vendor and technology workflows, maintaining KPI reporting, and coordinating daily operational needs across store and corporate teams. This role combines analytical rigor with hands‑on operational support to help the business scale efficiently while upholding the guest experience and brand standards.
What You Will Do:Invoice, Vendor, & Purchasing Support
- Review and validate vendor invoices for accuracy, pricing compliance, and adherence to contract terms.
- Approve invoices within Bill.com and facilitate accounting controls to ensure sufficient cash balance.
- Track recurring expenses, investigate anomalies, and resolve discrepancies directly with vendors.
- Partner with Operations and Purchasing teams to optimize invoice workflows and improve accountability.
- Monitor vendor pricing changes, category spend trends, and their impact on COGS.
- Identify cost‑saving opportunities without compromising quality or guest experience.
Financial & Analytical Support
- Maintain KPI tracking tools across sales, labor, and cost categories; ensure accuracy and timely updates.
- Extract financial data from QuickBooks to support variance analysis and operational reporting.
- Collaborate with Baker Tilly and Corporate Accounting during month-end close, including account review and variance investigation.
- Support FP&A with cash flow forecasting, modeling, and financial planning inputs.
- Conduct location-level financial and operational reviews and provide recommendations for performance improvement.
Operational Coordination
- Serve as a point of contact between store teams, accounting, FP&A, IT/tech vendors, and leadership.
- Update and maintain SOPs, process documentation, operational checklists, and training materials.
- Coordinate store-level support requests, monitor task completion, and escalate issues when needed.
- Support the rollout of new operational tools, programs, or systems across store operations.
- Assist with labor, scheduling, and operational performance monitoring on a weekly and monthly basis.
- Provide onboarding support for new managers related to systems, ordering workflows, and financial procedures.
Technology, Digital Platforms & Guest Experience
- Review and identify required updates or configuration changes in Toast, including menu accuracy, pricing, modifiers, reporting, and system alerts.
- Monitor performance of the company website, ensuring accuracy of product information, hours, promotions, and location listings.
- Track and report on loyalty program and mobile/app performance, identifying trends, technical issues, or guest experience opportunities.
- Coordinate with marketing, tech partners, or third-party vendors to troubleshoot and resolve digital performance issues.
- Respond to customer inquiries received through digital channels, email, or app platforms while maintaining brand voice and service standards.
- Monitor trends in guest feedback to identify operational or digital improvements.
Systems & Process Management
- Maintain internal operational tracking systems for vendors, invoices, inventory, COGS, and compliance.
- Support implementation of new processes related to procurement, inventory management, ordering, labor optimization, or store operations.
- Collaborate with teams to troubleshoot system issues and support software upgrades or deployments.
- Ensure strong data hygiene, documentation, and organized internal workflow systems.
Other
- Occasional travel may be necessary as needed

- 2–4+ years of experience in operations, financial analysis, accounting support, or multi‑unit hospitality (coffee/restaurant experience a strong plus).
- Strong analytical aptitude with the ability to translate financial and operational data into clear insights and recommendations.
- Experience supporting multi‑location operations in a fast‑paced, growth‑oriented environment.
- Strong cross‑functional communication skills, with the ability to partner effectively across operations, finance, tech, and vendors.
- Highly organized and detail‑driven, with a proactive, solutions‑oriented mindset.
You'll crush it if you have experience with
- Experience with QuickBooks, Bill.com, Toast, loyalty platforms, and operational dashboards.
- High proficiency in Excel/Google Sheets; familiarity with reporting tools (Tableau, Looker, etc.) a plus.
- Detail-oriented, organized, and proactive problem solver.

Pay Range: USD $85,000.00 - USD $90,000.00 /Yr. Compensation Disclosure:The compensation range listed reflects the base salary or hourly rate that we reasonably and in good faith expect to offer for this role at the time of posting. Actual compensation may vary based on factors such as education, experience, skills, certifications, seniority, geographic location, and business needs.
This role may be eligible for additional forms of compensation, including bonuses, commissions, stipends, or non-cash incentives, depending on position and performance. Benefits may include health insurance, retirement plans, paid time off, and other role-based offerings, subject to eligibility requirements.
