Job Description

Provides administrative support to nonexecutive management and employees in the organization. Receives, screens and directs incoming calls, visitors, and email. Uses business software applications to prepare correspondence, reports, presentations, agendas, and minutes. Responsible for providing secretarial services to the organization, such as: maintaining files and records, arranging business travel, coordinating meeting arrangements and office moves, handling mail and ordering needed office supplies or equipment.

Required Combination of Knowledge and Skill

  • High school diploma or equivalent and a minimum of 4 years of relevant experience; or
  • Associates degree from an accredited college or university in a related field and a minimum of 2 years of relevant experience; or
  • Bachelors degree from an accredited college or university in a related field.

Preferred Skills

  • Proven ability to develop, implement, and enforce procedures and templates for written and electronic communications. Skilled in initiating, preparing, and delivering a variety of professional communications.
  • Demonstrated ability to professionally screen and direct telephone calls and visitors, respond to routine and complex inquiries, and provide accurate and timely responses on behalf of management when appropriate.
  • Proven ability to manage and maintain complex calendars, including scheduling appointments, meetings, and travel itineraries.
  • Skilled in coordinating detailed travel arrangements, including group, emergent, and international travel, ensuring seamless logistical support.
  • Demonstrated ability to manage, analyze, and maintain sensitive data, ensuring accurate tracking and reporting. Proven experience in identifying trends and providing actionable insights to inform management decisions.
  • Demonstrated ability to administer routine and complex programs, projects, and processes tailored to the specific needs of the team or group served.
  • Demonstrated ability to serve as an administrative liaison within and outside the organization, effectively addressing a wide range of administrative issues.

  • Demonstrated ability to anticipate and address a wide range of employee concerns and inquiries with professionalism and tact, and effectively resolveing routine and moderately complex issues independently, escalating only the most complex matters to senior management, as appropriate.
  • Demonstrated ability to leverage computer applications such as Microsoft products including O365, Teams, Outlook (e.g., calendar management), Word, Excel, PowerPoint, SharePoint, Adobe, Bluebeam, and/or Power BI to enhance functional operations, including providing support and training to end-users to promote effective utilization.
  • Experience with developing and maintaining SharePoint pages.
  • Demonstrated ability to maintain office equipment, coordinate troubleshooting efforts, and ensure necessary equipment is readily available to support end-user needs.

Pay Range

$51,800.00 - $77,700.00 annually
Salary information provided is a general guideline only. Annual salary is based upon candidate experience and qualifications, as well as market and business considerations.

The Naval Nuclear Laboratory is operated for the U.S. Department of Energy (DOE) by Fluor Marine Propulsion, LLC (FMP), a wholly owned subsidiary of Fluor Corporation. Naval Nuclear Laboratory personnel are FMP employees who work at four DOE facilities: Bettis Atomic Power Laboratory, Knolls Atomic Power Laboratory, Kenneth A. Kesselring Site, and Naval Reactors Facility, and at the U.S. Department of Defense-owned Nuclear Power Training Unit-Charleston. FMP employees also have an established presence at numerous shipyards and vendor locations. For nearly 70 years, the Naval Nuclear Laboratory has developed advanced nuclear propulsion technology, provided technical support, and trained world-class nuclear operators to ensure the safe and reliable operation of our nation's submarine and aircraft carrier Fleets. The Naval Nuclear Laboratory is a national asset solely dedicated to the Naval Nuclear Propulsion Program. We rely on the dedication and innovation of our nearly 8000 engineers, scientists, technicians, and support personnel.
