Role Summary
The Scheduling Coordinator serves as the primary point of contact for scheduling appointments for new and existing patients across the health system (practices, hospital, and ancillary services). This role is critical to patient care, requiring the ability to manage complex scheduling scenarios, research patient requests thoroughly, and deliver exceptional customer service in a high-volume environment.
This position bridges the gap between patients and the clinical team by managing communications, insurance authorizations, and medical record requests within the Cerner PowerChart Ambulatory system.
Key Responsibilities
1. Scheduling & Clinical Coordination
- Coordinate multidisciplinary appointments, including consults, sleep studies, follow-ups, daytime studies, and home sleep testing.
- Utilize ICD-10 and CPT codes to verify the medical necessity of procedures during scheduling.
- Collaborate with clinical team leaders to ensure appropriate time slots and staff are reserved to meet patient and physician needs.
- Proactively manage cancellations, reschedules, and fill open slots according to department guidelines.
2. Patient Communication & Customer Service
- Provide exceptional service by answering incoming calls professionally, identifying oneself, and using appropriate etiquette.
- Actively listen to patient concerns, relaying messages regarding medication refills or clinical questions to staff accurately and timely via EMR.
- De-escalate difficult customer situations and escalate to leadership when necessary.
3. Administrative & EMR Management
- Front Desk Duties: Check patients in/out, register patients, and obtain necessary consents while ensuring understanding of patient rights and privacy (HIPAA).
- Data Accuracy: Thoroughly verify patient demographics, insurance information, and appointment history.
- Medical Records: Process medical record requests, ensuring compliance with regulatory standards for the release of information.
- EMR Proficiency: Utilize Cerner Scheduling, Power Chart, Power Chart Ambulatory, RevCycle, and Excel to document work and manage patient information.
4. Insurance Authorization Support
- Work closely with the authorization team to ensure all sleep studies are authorized prior to the appointment.
- Communicate authorization updates or changes to patients immediately.
Required Qualifications & Skills
Requirement Education
High School Diploma or GED required.
Experience
Minimum one year of experience in a customer service role or healthcare setting.
Soft Skills
Exceptional verbal/written communication, active listening, ability to remain calm under pressure, and strong organizational skills.
Technical Skills
Proficiency in Microsoft Office (specifically Excel) and experience with electronic medical records (EMR).
Preferred Qualifications
- Two years of experience in a customer service or healthcare setting.
- Previous experience with Cerner PowerChart.
- Specific experience with practice management software, including scheduling, registration, and insurance authorization processes.
- Familiarity with medical terminology.
