Position Overview

The Scale Operator/Receptionist is a key front-line role responsible for greeting visitors, answering phones, and providing exceptional customer service, while also performing critical scale operations including weighing trucks, issuing tickets, maintaining records, and supporting field office functions. This position requires strong organizational skills, attention to detail, professionalism, and the ability to multitask in a fast-paced environment.

 

Essential Duties & Responsibilities

Reception & Front Office Responsibilities

  • Welcome and direct visitors in person or by telephone.
  • Maintain a professional, courteous, and helpful demeanor as the face of the company.
  • Answer and route calls from a multi‑line phone system; take and relay messages accurately.
  • Maintain security by following check‑in procedures and verifying visitor identification.
  • Keep reception area clean, organized, and presentable.
  • Sort, distribute, and prepare incoming/outgoing mail, faxes, and courier bags.
  • Assist with filing, copying, scanning, and general administrative tasks.
  • Schedule and manage conference room reservations.
  • Respond to general inquiries about the company.

Scale Operation & Field Support Responsibilities

  • Weigh and ticket trucks accurately and efficiently.
  • Prepare daily load summaries and maintain time, material, and inventory records.
  • Collect payments and adhere to company policies regarding inventory and payment accuracy.
  • Maintain working knowledge of aggregate sizes, classifications, and weight requirements.
  • Provide exceptional customer service to drivers, vendors, and internal staff.
  • Perform light bookkeeping, basic data entry, and word processing tasks.
  • Utilize company software including Excel, Word, Outlook, and database tools.
  • Travel occasionally between locations as required (interstate highways to rural dirt roads).
  • Assist with other duties as needed.

 

Qualifications

Education & Experience

  • High school diploma or GED required.
  • Two years of related office or customer service experience preferred.
  • Experience in the construction or materials industry is beneficial.

 

Knowledge, Skills & Abilities

  • Strong customer service and interpersonal communication skills.
  • Ability to read, write, and comprehend instructions, correspondence, and memos.
  • Ability to perform basic math (add, subtract, multiply, divide; fractions and decimals).
  • Ability to work independently and with others in both group and one‑on‑one settings.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to type and use keyboard systems accurately.
  • Knowledge of scale operations and aggregate products helpful but not required.
  • Ability to multitask and manage changing priorities.
