A busy insurance defense law firm is seeking a professional and reliable Receptionist to serve as the first point of contact for clients, attorneys, and visitors. This role is critical in maintaining a polished front office environment while providing administrative support to a fast-paced legal team.
Position Overview
The Receptionist will manage front desk operations, handle high-volume communications, and assist with general administrative tasks. The ideal candidate is organized, detail-oriented, and comfortable working in a professional legal setting with frequent interaction with clients, court personnel, and internal staff.

Key Responsibilities
- Greet and assist clients and visitors in a professional and courteous manner
- Answer and direct high-volume phone calls, take messages, and route inquiries appropriately
- Manage incoming and outgoing mail, including certified mail and courier services
- Maintain front desk organization and ensure a welcoming office environment
- Schedule appointments, meetings, and conference room usage
- Assist with calendar coordination for attorneys and staff as needed
- Perform data entry, filing, scanning, and document management
- Support legal staff with administrative tasks including preparing correspondence and basic documents
- Coordinate deliveries, office supplies, and vendor interactions
- Maintain confidentiality of client and firm information at all times
Qualifications
- Prior receptionist or administrative experience, preferably in a law firm or professional services environment
- Strong communication and customer service skills
- Ability to manage multiple tasks and prioritize in a fast-paced setting
- Proficiency in Microsoft Office including Word, Outlook, and Excel
- Strong organizational skills and attention to detail
- Professional demeanor and ability to interact with clients and staff at all levels
