About the Position
Warner Norcross + Judd is seeking a Receptionist/Practice Group Specialist to join our team in Bloomfield Hills. This role position presents a professional, client-centered view of the firm to clients, guests and firm members. As the first point of contact when you enter our space, our receptionist/practice group specialist plays a critical role in creating a warm and positive impression for firm members and guests. This role provides dedicated administrative support to the legal assistants in the practice group, contributing to the overall efficiency and organization or legal operations. The ideal candidate will demonstrate strong attention to detail, an aptitude for learning, will work and communicate well with others, and will have excellent organization and time management skills.
About the Opportunity
Responsibilities:
- Greet and welcome firm members and guests in a welcoming and professional manner
- Notify firm members of client/guest arrivals
- Answer and direct incoming phone calls
- Manage the reception, conference rooms, kitchen, mail room as well as Visiting Attorney offices and collaborative spaces, ensuring cleanliness, functionality, and organization
- Coordinate conference room reservations
- Work with General Services team to place orders for items needed in suite including office and kitchen supplies
- Submitting work orders to building management
- Assist in securing suite
- Handle incoming and outgoing mail and packages
- Scan and file documents in electronic and paper form
- Proofread documents as requested including time entries, legal descriptions, pre-bills, forms, etc.
- Prepare basic documents including engagement letters and conflict waivers
- Create PowerPoint and other presentations from provided material
- Type from dictation
- Upload documents to extranet sites
- Open client matters and order sub-files
- Assemble closing binders and other packaged materials
- Assist with event preparation and cleanup as needed
- Perform other administrative tasks such as calendaring items, scheduling meetings, ordering lunches and food for those in the suite as needed, etc.

The physical demands of this position are representative of those that must be met by an employee in order to successfully perform the essential functions of the position. These include being both mobile and stationary throughout the workday, having the ability to transport 25 pounds and being able to operate a computer and other business equipment found in the office.

About You
Experience, Education and Training:
- High school diploma or equivalent
- Previous experience in a receptionist or customer service role preferred
- Excellent communication and interpersonal skills
- Ability to handle privileged and confidential information with discretion
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
