Job Details

KEY RESPONSIBILITIES
  • Serve as the face of the New York office, setting the tone for every client and visitor experience from the moment they walk in
  • Greet and assist all visitors and office residents, managing the front desk with professionalism and warmth
  • Answer, screen, and direct all incoming calls; take messages and handle internal and external inquiries
  • Provide administrative support to the Office Administrator and assist with day-to-day office operations
  • Coordinate and schedule conference rooms, order catering, and ensure rooms are properly set up ahead of meetings
  • Partner with hospitality, office services, and marketing teams on office events, including vendor coordination, catering, and AV setup
  • Work with couriers to receive and route deliveries
  • Support onboarding and offboarding of attorneys and staff
  • Serve as on-site backup for the Office Administrator when needed
  • Support Legal Administrative Assistants and other administrative departments as bandwidth allows
  • Serve as a Polsinelli PROUD committee member or team captain, actively contributing to firm culture

QUALIFICATIONS
  • College degree preferred
  • Minimum 1 to 3 years of front desk, receptionist, or client-facing administrative experience, preferably in a professional services or law firm setting
  • Strong proficiency in Microsoft Outlook and Word
  • Experience coordinating conference rooms, catering, and scheduling in a fast-paced office environment
  • Proven ability to manage a multi-line phone system and handle a high volume of inquiries with poise
  • Strong interpersonal and communication skills, both in person and over the phone
  • Ability to multitask, stay organized under pressure, and exercise sound judgment
  • Maintains strict confidentiality regarding client matters, firm operations, and financial information
  • Professional appearance and demeanor required at all times
