POSITION SUMMARY 

The Purchasing Coordinator plays a pivotal role in ensuring accurate and timely receipt of all units. This role manages incoming units, updating dates, and unit-specific master data.  This includes activities such as validating VIN information and updating anticipated receipt dates to support fleet visibility and operational readiness. This role processes all invoices for equipment added to the fleet. The Expediter works closely with purchasing, accounting, operations, and suppliers to ensure data accuracy, delivery of transparency, and seamless fleet onboarding. 

 

LOCATION 

Onsite in Fort Wayne, IN 

Hours of Operation: Monday - Friday, 8 AM - 5 PM/7 AM - 4 PM ET 

 

COMPENSATION

This position offers a competitive compensation package, benchmarked to regional market standards. It consists of an hourly rate plus the opportunity for quarterly profit sharing after one year of employment. 

 

RESPONSIBILITIES 

Coordination and Tracking  

  • Timely, accurate creation of purchase orders as needed.
  • Process dealership paperwork for AP and Titling teams.
  • Track the delivery status from order placement through receipt.
  • Run OEM status reports to support accurate date management of incoming vehicles.
  • Proactively communicate delays, discrepancies, or status changes to internal stakeholders. 

Supplier Management 

  • Assist in resolving supplier-related issues, including damage claims, recalls, quality concerns, and documentation discrepancies.
  • Maintain accurate records of supplier communications and issue resolutions.
  • Collaborate with internal stakeholders to ensure timely follow-up and closure of open supplier matters. 

Master Data Management  

  • Support the accuracy and integrity of Master Data for all equipment.
  • Review and validate vehicle specifications, VIN details, and configuration data.
  • Reconcile data for PDI and invoice payments.
  • Generate delayed warranties on chassis builds and maintain the records.
  • Assist in conducting audits of vehicle specifications and system records to identify discrepancies and ensure data accuracy.
  • Collaborate with purchasing and operations teams to resolve data inconsistencies promptly.
  • Create/edit procurement of SOPs and assist with various clerical duties or projects. 

Customer Service Excellence 

  • Demonstrate close attention to detail, follow-up, and a strong commitment to customer service.
  • Collaborate effectively with internal and external business partners. 

 

REQUIREMENTS 

MUST HAVE 

  • Minimum of 2 years of experience in automotive or related field.
  • High school diploma or equivalent.
  • Detail-oriented with strong organizational and time management skills.
  • Ability to work both independently and as part of a team.
  • Effective communication skills, both verbal and written.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Strong problem-solving skills and ability to adapt to changing priorities.
  • Commitment to continuous improvement and professional development. 

NICE TO HAVE 

  • Associate's degree in business, supply chain, or related field.
  • Experience with ERP systems and procurement software.
  • Certification in supply chain management or procurement (e.g., CPSM, CPIM).
  • Knowledge of automotive procurement processes.
