Job Title: Purchasing Assistant
Location: Oberlin, OH
Shift: 1st Shift (Monday–Friday, 8:00 AM – 5:00 PM)
Pay: $21–$30/hour (based on experience)
Position Overview
We are seeking a detail-oriented and proactive Purchasing Assistant to support our procurement operations in Oberlin, OH. This role plays a critical part in ensuring materials, supplies, and services are sourced efficiently to meet production demands. The ideal candidate thrives in a fast-paced manufacturing environment, demonstrates strong organizational skills, and maintains effective communication with suppliers and internal teams.
Key Responsibilities
- Generate, process, and manage purchase orders (POs) for raw materials, consumables, tooling, outside services, and MRO supplies
- Verify supplier confirmations, including pricing, lead times, and delivery schedules to ensure alignment with production needs
- Monitor open orders and proactively follow up with vendors on late or at-risk shipments
- Communicate order delays, substitutions, or changes to internal stakeholders in a timely manner
- Serve as a primary point of contact for suppliers, handling updates, expediting requests, and documentation
- Maintain professional communication with vendors and internal teams via phone and email
- Support supplier onboarding and ensure accurate vendor records are maintained
- Collaborate with Purchasing and Receiving teams to ensure accurate deliveries, packing slips, and invoice reconciliation
- Assist in resolving discrepancies such as shortages, damages, incorrect pricing, or documentation issues
- Maintain organized purchasing records, including confirmations, freight documentation, and certifications
- Monitor inventory levels and assist with replenishment of high-use materials
- Coordinate urgent material needs with Purchasing Manager and production teams
- Support inventory accuracy efforts, including cycle counts
- Maintain accurate purchasing data in ERP/MRP systems and supporting spreadsheets
- Contribute to continuous improvement initiatives within purchasing workflows
- Assist with reporting, supplier performance tracking, and KPI metrics
- Perform other duties as assigned
Qualifications
- High school diploma or GED required; Associate degree or relevant coursework preferred
- 1+ years of experience in purchasing, supply chain, administrative support, or manufacturing preferred
- Proficiency in Microsoft Office, particularly Excel and Outlook; experience with ERP/MRP/JobBoss systems strongly preferred
- Strong attention to detail with the ability to manage multiple priorities effectively
- Excellent communication skills with a professional, customer-focused approach
- Highly organized with the ability to work in a fast-paced environment
- Experience in manufacturing or metal fabrication environments preferred
- Familiarity with supplier expediting, inventory control, and PO/invoice matching preferred
- Working knowledge of purchasing terms (lead times, freight terms, MOQ, material certifications) preferred
- Ability to pass pre-employment screening
