Job Details

Position Summary
The Property Manager oversees the daily operations and leasing for a Medical Building, ensuring optimal performance, tenant satisfaction, financial stability, and compliance with healthcare standards.

Key Responsibilities

Operational Oversight
Manage day-to-day facility operations: HVAC, elevators, parking systems, janitorial services, landscaping
Coordinate scheduled and emergency maintenance, ensuring minimal tenant disruption
Tenant Relationship & Services
Serve as primary liaison to medical tenants and building users
Address tenant issues promptly, maintain tenant satisfaction and retention
Leasing & Financial Management
Market and lease vacant suites
Negotiate, renew, and administer lease terms in collaboration with brokers
Prepare and manage operational budgets, forecasts, and rent collection
Compliance & Safety
Ensure compliance with healthcare regulations (OSHA, ADA, HIPAA)
Coordinate inspections and routinely review fire, life safety, and environmental protocols
Vendor & Contract Management
Oversee third-party service vendors (security, custodial, landscaping)
Issue RFPs and negotiate vendor contracts, monitor performance and costs
Capital Projects
Collaborate on building upgrades and tenant improvements
Monitor capital improvements, track progress, and manage budgets
Reporting & Administration
Generate monthly and annual reports on occupancy, operations, and financials
Maintain property documentation: leases, service contracts, compliance certifications


Qualifications

Education: Bachelor’s degree in real estate, business administration, facilities or related field (preferred)
Experience: 3–5 years in medical office or commercial property management with multi-tenant environments
Licensing: Valid California real estate or property management license (preferred)
Technical Aptitude: Proficiency with property management software, MS Office suite
Familiarity with budgeting, lease administration, and compliance reporting

Excellent organizational and multitasking capabilities
Analytical mindset for budgeting, financial tracking, and issue resolution
Leadership, negotiation, and problem-solving aptitude
