Assistant Property Manager / Property Administrator
Location: Queens, NY (Hybrid – 4 Days On-site / 1 Day Remote)
Compensation: Up to $70,000 + Benefits & 401(k) Match
Reporting to: Property Manager

Role Overview
We are seeking a detail-oriented Assistant Property Manager / Property Administrator to support the management of a residential portfolio. Unlike a traditional APM role, this position focuses exclusively on tenant administration and resident relations rather than on physical building maintenance or staff management.

The ideal candidate is a Yardi Power-User who excels at managing the administrative lifecycle of a tenant, from lease processing to ledger reconciliation, particularly within the context of Condo and Co-op regulations.

Job Details

Key Responsibilities
1. Tenant Administration & Leasing
Resident Liaison: Act as the primary point of contact for tenant inquiries, specialized requests, and move-in/move-out coordination.

Lease Administration: Draft and process lease renewals, riders, and modifications. Ensure all tenant files are 100% compliant with NYC regulations.

Condo/Co-op Coordination: Navigate the specific board requirements, application packages, and "house rules" associated with Condo and Co-op units.

Board Packages: Assist in the preparation and review of purchase or sublet applications for board approval.

2. Financial & Data Management (Yardi)
Yardi Oversight: Maintain accurate and up-to-date tenant data within Yardi Voyager.

Rent Collection & Ledgers: Monitor tenant ledgers, process rent payments, and handle initial outreach regarding delinquencies.

Security Deposits: Manage the processing and return of security deposits in compliance with state laws.

Invoicing: Code and process administrative invoices related to tenant services.

3. Compliance & Reporting
File Audits: Conduct regular audits of tenant folders to ensure all required disclosures (Lead Paint, Bedbug, Window Guards) are signed and filed.

Agency Reporting: Assist with administrative filings for DHCR or other regulatory bodies as needed.

Communication: Draft and distribute building-wide notices regarding policy changes or administrative updates.

Required Qualifications
Experience: 2–4 years of experience in NYC residential property administration or assistant management.

Software: Advanced Yardi Voyager experience is required.

Technical Knowledge: Proven experience navigating the administrative nuances of Condos and Co-ops.

Skills: Exceptional organizational skills and the ability to manage high volumes of paperwork with "zero-error" accuracy.

Communication: Polished written and verbal communication skills for interaction with high-net-worth residents and board members.
